Job Description

STATEMENT OF PURPOSE: The Executive Assistant for Special Projects reports directly to and works closely with the CEO. The Executive Assistant for Special Projects is responsible for supporting the CEO through a combination of project management, writing and editing, research, and administrative support.

RESPONSIBILITIES:

+ Manage special projects for the CEO;

+ Support and coordinate projects with other departments of the Agency;

+ Prepare policy briefings, talking points, presentations and proposals for internal and external meetings;

+ Schedule, prepare materials and notes, and ensure follow-up for various leadership and staff meetings;

+ Support the President & CEO in advancing government relations, facilitating interactions with city officials, and driving advocacy and partnership initiatives.

+ Work with the Executive Assistant to the President and CEO to ensure the President & CEO is prepared for meetings and events

+ Support the President & CEO’s management of leadership team meetings and management of those members

+ Draft and edit various documents including internal/external correspondence and legislative testimony;

+ Research and prepare briefing materials for key materials and presentations;

+ Participate in meetings, taskforces and workgroups both internally externally;

+ Manages the Administrative Assistant and the staff assigned to the Agency’s Front Desk;

+ Other responsibilities, as required.

QUALIFICATIONS:

+ BA/BS Degree required

+ Excellent written, oral and interpersonal skills

+ Excellent research, analytical, planning and organizational skill

+ Ability to work independently, exercise professional judgment, and have discretion

+ Team-oriented and flexible

+ Proficient in Microsoft, Word, Excel and PowerPoint

+ Previous supervisory experience preferred

+ Support the mission, vision and values of The Chicago Lighthouse.
