Description:

Under minimal supervision, provide day-to-day administrative support for the department of Political Science operations, including procurement, communications and administering gift accounts. Generate reports and analyses to formulate recommendations to the executive management in the area of communications and development.

Duties & Responsibilities:

FINANCIAL and HR TRANSACTIONS:

Purchase and procure supplies and equipment, develop requests for proposals and manage process, and maintain and coordinate contracts.
Partner with Business Manager to plan and make purchases for department hosted events. Ensure appropriate supply levels are maintained.
Coordinate and purchase faculty University Business Travel
Compile and submit monthly reports of expenditures and balances to the Business Manager.
Reconcile/approve assigned transactions in Chrome River
Process Student Awards
Complete student employee requisitions forms in partnership with Business Manager and approve student employee timesheets.
Partner with Business manager to create, distribute, and upload offer letters.
ADMINISTRATIVE:
Maintain a shared Box/MS office space for the department by entering and updating sorting documents and files.
Provide administrative support for miscellaneous activities as required.
Act as Unit Representative in FABWeb to process new tagged inventory equipment for the department.
COMMUNICATIONS:
Update and maintain the website, and the department's social media presence.
Develop and send email announcements, surveys, forms and other communications to faculty and staff.
Perform other related duties and participate in special projects as assigned.

Minimum Qualifications Required:

1. High school graduation or equivalent

2. Any one or any combination totaling five (5) years (60 months) from the following categories:

A. college course work in business, finance, accounting or a related field:

60 semester hours or an Associate's degree equals one (1) year (12 months)
90 semester hours equals two (2) years (24 months)
120 semester hours or a Bachelor's degree equals three (3) years (36 months)
Master's degree or higher equals four (4) years (48 months)
