Job Description

Summary This position Is located within all Directorates of the Captain James A. Lovell Federal Health Care Center (FHCC) located at North Chicago, Illinois. The FHCC is larger than just a single facility, rather Is a system of facilities throughout Northeastern Illinois and Wisconsin which provide medical and dental services to U. S. Military Veterans, Recruits, and Active Duty and eligible beneficiaries. Responsibilities Duties include, but may not be limited to the following: Provides general clerical public contact Support services such as answering the telephone, referring visitors, or providing Information about the office, its functions, and standard operating procedures, as well as similar Information. Supplies the requested Information when the question concerns Information the employee Is familiar with or subject matter nature pertaining to the services of the department (e.g., status of reports, suspense dates, and request for tours). A comprehensive knowledge of program and policies is also needed for the incumbent to be effective in this position. Prepares high-level memoranda, letters and other documents, routes for approval, and tracks to completion for the leadership team. Screens publications, directives, correspondence, etc., and brings items of significance from those publications to the attention of service line leadership as appropriate. Notifies the center Director and responsible parties of impending suspense dates. Provides general calendar maintenance clerical services such as maintaining calendars and recording appointments, or arranging for meeting and small conference administrative details. Maintains effective office systems (Including files and report automation), travel procedures (including reservations and itinerary), and communication on special procedures for all directorate, department and division staff as needed. Serves as timekeeper to include notifying staff when there are timekeeping exception notices, and ensures corrections are made. Answers telephone calls and routes messages as appropriate. Prints, copies, faxes, orders supplies, initiates work orders, and manages key requests and SharePoint requests. Incumbent must successfully, pass all required training to receive and maintain a Government Purchase Card. Incumbent will purchase needed office supplies and may make other purchases under the purchase threshold that are needed to support the directorate, department and division staff as needed. The incumbent must track and obtain from any appropriate source supplies/equipment necessary for the different sections use, assist with tracking of reports due to the Facility, or other offices and ensure they are submitted in a timely manner. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 05/28/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below:GS-07: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Customer service, researching, reviewing, and composing typed drafts. Ability to perform a wide variety of administration and program support function using different skills and abilities including: meeting planning, setting up video/conference calls, recording and generation of meeting minutes, data gathering, conference setup and support, travel, timekeeping/leave administration, report generation, memos, spreadsheets, graphs and all other presentations. You will be rated on the following Competencies for this position: Administration and Management Analytical Thinking Critical Thinking Customer Service (Clerical/Technical) Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities.
