Description
This position provides support to the Department Chair and Department Administrator in the Department of Internal Medicine on various administrative/organizational matters. The position provides secondary support to the Internal Medicine Department Chair in their role as Department Chair of Population Science and Policy. This position shall coordinate and integrate activities of the Department with the other activities in the School of Medicine, SIU HealthCare, and affiliated hospitals.

Under the general supervision of the Department Administrator and Chair, serves in representing the Chair's Office by performing the following duties:
* Provides executive support to the Chair and Department Administrator
* Maintains an overview of departmental responsibilities and deadlines, updates, and evaluates departmental policies and operational procedures such as the development of the annual department calendar, regular scheduled meetings, and yearly performance evaluations.
* Reviews and completes final copy of communications and documents for the Chair's Office including use of appropriate spelling, punctuation, syntax formats and modifies as needed; drafts communications for the Chair's Office and develops and distributes as directed.
* Manages, maintains and communicates confidential information and systems with discretion and integrity.
* Oversees the planning and implementation of special events for the department including serving on department event committees as requested.
* Serves as liaison and primary point of contact and interface for anyone engaging directly with the Chair's Office and provides information, assistance and advice responding and prioritizing inquiries appropriately
* Manages and coordinates departmental special projects and essential programs including complex scheduling for meetings/events sponsored and/or supported by the Chair's Office
* Coordinates and facilitates faculty and other departmental personnel candidate recruitments, hiring and onboarding activities that interface with the Chair's Office
* Provides direction to departmental office support personnel to goals, priorities and/or expectations emanating from the Chair's Office; regularly participates in office support activities and provides support to office support personnel on occasion
* Assists the Fiscal Office including completing and following applicable policies, procedures and controls in the financial management of activities that directly interface with the Chair's Office such as travel reimbursements, special event authorizations, and/or other uses of funds requested of/by the Chair's Office.
* Performs related duties as assigned.
 Qualifications

1) High school graduate or equivalent; AND

2) Any one, or any combination that totals 5 years from the following:
a. college course work in business, finance, accounting or a related field:-60 semester hours or an Associate's degree = 1 year
-90 semester hours = 2 years
-120 semester hours or a Bachelor's degree = 3 years
-Master's degree or higher = 4 years; OR
b. progressively responsible professional, managerial and supervisory experience that included experience in the areas such as supervising staff or job function, organizing and coordinating office operations, and performing duties that lead to knowledge of generally accepted office management principles
*As required by the position to be filled, education, training and/or work experience in an area of specialization inherent to the position may be required to meet credential requirement #2.

Condition of Employment:  Pursuant to the State Universities Civil Service System, an out-of-state resident who is hired into this position must establish Illinois residency within 180 calendar days of their start date.
