Program Associate

Summary:

The Global Regulatory Affairs Office (GRAO) is responsible for overseeing the enhancement of our risk management and controls, remediation of regulatory and audit findings and the administration of regulatory affairs, including establishing a centralized and sustainable connection point for global regulatory communications, ensuring preparedness for examinations .

This Program Associate role reports to the GRAO Program Management Office (PMO) that is responsible for day-to-day enablement of the GRAO strategy. The primary responsibility of the Program Associate is to provide administrative services and support the PMO members in providing continuity across the various programs and projects that execute the GRAO strategy. The ideal individual will be able to exercise good judgment in a variety of situations as well as maintain a realistic balance among multiple, competing priorities. The Program Associate must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion and attention to detail.

Duties:

  • Coordinate and schedule program meetings, agenda development, capturing meeting minutes, summarizing the takeaway of milestones and action items.
  • Manages complex daily calendars including meetings, appointments, conferences and outside engagements
  • Act as a key point of contact for coordination of PMO/Program planning needs (e.g. workshops, events, etc)
  • Responsible for coordinating travel arrangements for domestic and international travel and prepares travel itineraries
  • Support program to onboard new vendors and contractors
  • Act as a key point of contact for vendors, contractors and visitors; provides general assistance
  • Maintain a central PMO calendar of key dates (e.g. meetings, workshops, schedules, etc)
  • Prepares internal and external correspondences, reports and presentations. Maintains confidentiality of correspondence records, presentations and reports in a central repository system
  • Track and monitor monthly departmental expenses aligning with project budgets, cost of doing business and other defined enterprise and departmental strategies.
  • Prioritizes and handles multiple projects with accuracy.
  • Delivers a work product that requires less revision.
  • Able to facilitate discussions and reach decisions.



Qualifications

The successful candidate will benefit from having:

  • A College or University degree and/or relevant administrative support experience is preferred.
  • Prior experience supporting a PMO team is preferred.
  • Technical skills: Concur, Outlook, Teams, Microsoft Office 365 suite required (strong with Excel, Word, SharePoint; advanced PowerPoint and Adobe).
  • Excellent oral and written communication skills are required
  • Functional / Industry Knowledge is required
  • Analytical and problem solving skills are required
