Position Highlights:
Position: Administrative Assistant III
Location: Evanston Hospital - Maternal Fetal Medicine
Full Time
Hours: Monday-Friday, 7:30am - 5:30pm
Onsite Position

What you will do:
Serve as an administrative assistant to Fetal Diagnostics and Maternal Fetal Medicine Departments.
Compile stats/data for department budget preparation and quality improvement as directed by administration and physicians.
Handle phone calls, filing correspondence, schedule appointments, assist with staff meetings and interviews, coordinate offsite procedure report completion and distribution, etc.
Maintains Fetal Diagnostic and Maternal Fetal Medicine employee schedules in collaboration with MFM Administrative Assistant to accurately ensure time card updates and approval biweekly with Manager approval.
Acts as Lead Patient Support Associate, handling complex / emergency / specialty service appointments and consults.
Demonstrates proficiency and expertise in all responsibilities required in MFM/Fetal Diagnostic PSA job description.
Coordinates new employee orientation and materials.
Ensure that office procedures are modified to increase efficiency in operation within the department and institution.
Maintains Fetal and MFM department appointment templates (updates and revises as needed) Maintains monthly physician schedules and distributes to combined staff.
Attends departmental meetings and reports minutes, when requested.
Coordinate patient materials as needed
Coordinates patient record requests/image retrieval on CD for outside consultation.
Coordinates storage of paper records and retrieval of past records.
Completes necessary purchase requisitions for department invoices and purchases.
Inventory and orders office supplies and dietary supplies, or requests to ordering employee.
Coordinates work schedules and daily/weekly responsibilities with Maternal Fetal Medicine Administrative Assistant
Handles department phones calls by routing to the correct party and/or personally completing caller's request.
Promotes a professional image by adhering to the established dress code and policies and Procedures
Reports all equipment problems to Manager or to service engineers. Uses established channels of communication to report problems or concerns.
Back-up for Maternal Fetal Medicine Administrative Assistant as needed

What you will need:
Education: High school diploma or equivalent required, college degree preferred
Certification:N/A
Experience: 2-3 years of related administrative/clerical support.
Skills:
Computer skills including knowledge of Word, Excel and PowerPoint.
Excellent organization, verbal and written communication, and transcription skills.
Ability to perform multiple tasks and detailed work, problem solve, reason and perform basic mathematical calculations.
Ability to work independently, utilizing strong organization and prioritization skills with minimal supervision.
