We are seeking an Executive Administrative Assistant to join our team in the healthcare and social assistance industry, located in Chicago, Illinois. This role involves providing administrative support to various teams and managing organizational tasks. As an Executive Administrative Assistant, you will be expected to manage schedules, monitor data reports, handle supply inventory, and build relationships with team members and external vendors.

Responsibilities:

- Provide administrative support to the Chief Medical Officer, Chief Financial Officer, Chief Behavioral Health Officer, and Women’s Health Team

- Handle phone calls and direct them appropriately

- Monitor daily, weekly, and monthly data reports for proper tracking and management

- Schedule appointments and coordinate meetings to ensure smooth operations

- Manage supplies inventory and perform reconciliation duties to maintain adequate stock levels

- Build and maintain relationships with program directors, managers, providers, and team members to foster a collaborative work environment

- Liaise with external vendors to assist with invoice processing

- Process expense reports and handle employee reimbursements

- Manage regulatory and death certificates to ensure compliance with relevant regulations

- Utilize MS Office Suite for administrative tasks and data management.

Requirements – Minimum of three years of experience in an administrative role within the healthcare, hospital, or social assistance industry

- Proficiency in administrative office tasks, including data reporting and calendar management

- Experience in healthcare administration, demonstrating a deep understanding of the healthcare industry and its unique needs

- Ability to manage supplies inventory, ensuring all necessary materials are available for daily operations

- Experience in coordinating meetings, including scheduling, sending out invites, and preparing meeting materials

- Excellent communication skills, with a proven track record in answering inbound calls in a professional and timely manner

- Proficiency in Microsoft Office suite, including Word, Excel, PowerPoint, and Outlook

- Exceptional organizational skills, with the ability to manage multiple tasks simultaneously and meet deadlines

- Demonstrated ability to handle confidential information with discretion

- High attention to detail and accuracy in all work

- Must be able to work collaboratively in a team environment, as well as independently with minimal supervision.
