Job Summary
The HR Applications User Support Specialist will be responsible for providing front-line support to internal and external users of HR applications, including monitoring and managing the HR Applications and Information Services ticketing system and providing help desk support for users. This role entails assisting users with troubleshooting, resolving technical issues, ensuring system functionality, and collaborating with HR, IT, and the HRAIS teams to optimize application usage.

Duties & Responsibilities
  • Provide help desk user support for HR applications:
    • Monitor HR Applications and Information Services ticketing system
    • Respond promptly to user inquiries (both internal users and external applicants), troubleshoot issues, and provide resolutions.
    • Collaborate with users to identify and understand application-related problems.
    • Coordinate with HRAIS team and other IHR staff to respond to user questions and concerns
    • Escalate complex issues to appropriate colleagues.
  • Manage HR application functionality and administration:
    • Coordinate with HRAIS and relevant IT teams to monitor system upgrades, patches, and enhancements.
    • Conduct testing and quality assurance to ensure system integrity and data accuracy.
    • Develop and maintain system documentation, including user guides and training materials.
    • Customize and configure application settings based on user requirements.
  • Collaborate with HR users and HRAIS team:
    • Collaborate with HR professionals to understand their needs and optimize application usage.
    • Provide guidance and support during the implementation of new HR initiatives and processes.
    • Participate in cross-functional teams to support integration between HR applications and other systems.
  • Conduct user training and knowledge sharing:
    • Develop and deliver training sessions to users on HR applications' features and functionalities.
    • Create user-friendly documentation and knowledge base articles for self-help.
    • Stay up-to-date with HR application advancements and industry best practices.
    • Conduct periodic training sessions to ensure users are familiar with system updates.
  • Other Duties as Assigned
Minimum Qualifications
  • High school diploma or equivalent.
  • Any one or any combination totaling one (1) year (12 months) from the following categories:
    • College coursework which includes Information Technology (IT), IT Management, Programming, IT systems, or a closely related discipline, as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate's Degree (60 semester hours) equals eighteen months (18 months)
      • 90 semester hours equals two (2) years (24 months)
      • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
    • Work experience in IT-related functions such as hardware/software support, programming, network design, network engineering, IT systems integration, or closely related field.
Preferred Qualifications
  • Familiarity with HR and/or business and applications that support those processes
  • Excellent communication skills with the ability to interact with users of varying technical expertise.
  • Experience in system administration, including system upgrades, configurations, and maintenance
  • Proficiency in HR information systems (e.g., Oracle HR, Workday, SAP SuccessFactors) and related tools
  • Training and facilitation experience
Knowledge, Skills and Abilities
  • Ability to work independently, manage priorities, and handle multiple tasks in a dynamic environment.
  • Problem-solving skills with the ability to diagnose and resolve technical issues.
  • Familiarity with HR processes, policies, and compliance requirements in a university or educational setting
  • Ability to deliver engaging and effective training sessions
Appointment Information

This is a 100% full-time Civil Service 5032 - Information Technology Support Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after 7/1/2024. Starting salary is $40,000, and is commensurate with experience.
