Job Summary

The primary responsibility of the Associate Director is to work collaboratively and independently to support the overall Executive Education business with a particular focus on open enrollment program operations across several modalities (in person, online and blended) with a primary focus on logistics and operational excellence. Working with the Global Program Operations team, the Associate Director is responsible for leading the program operations team as well as the end-to-end planning and delivery of certain programs. The program portfolio may include open enrollment and partnership programs in the US. The Associate Director is also responsible for program logistical training of newly hired Assistant Directors and working on special projects within the Executive Education team.

Responsibilities
  • Supervises the Global Program Operations team, including seasonal/temp/student workers.
  • Provides comprehensive support to global program operations team and guidance to the global program management team.
  • Ensures that the Global Program Management team follows all operational processes related to program logistics.
  • Conceives, develops, and implements new training ideas and proposals to increase efficiencies and adjust operational processes as needed.
  • Serves as an escalation point for time-sensitive process issues across the Global Program Management team.
  • Main point of contact between internal and external partners to ensure open communication and support across program logistics.
  • Leads purchasing of Booth branded materials, ensures all products meet branding guidelines.
  • Creates and manages the Executive Education Canvas pages.
  • Collaborates, develops and manages all communication with participants, faculty and clients before, during, and after select Executive Education programs.
  • Plans, organizes, and executes all logistics related to in-person and live online programs including catering and vendors, LMS, coordinating classroom IT/AV and other facilities on behalf of the program; supporting program delivery and working with clients ahead of and on program days.
  • Organizes and engages in program activities outside of the classroom. Examples include company visits, dinners, and experiential activities.
  • Assists in preparing and monitoring program budgets; authorizes payment for materials, facilities, staff, and faculty; tracks budget and expenditures associated with programs and prepares final accounting report at close of program.
  • Responsible for program logistical training of newly hired Assistant Directors.
  • Reviews program feedback and identifies and shares best practices on ways to improve the overall program experience.
  • Attends weekly meetings, including the program logistics and Global Operations team meetings.
  • Ability to be on-site for all assigned programs required; flexible schedules based on number of program days.
  • Program schedules vary across programs and geographic location of delivery.
  • Provides in-depth knowledge in developing executive or professional degree programs and/or curriculum. Implements plans for executive or professional degree programs and initiatives and acts as a liaison between the program and program participants.
  • Serves as a resource for program information. Resolves problems or questions referred by program staff, University administrators, or other contingencies.
  • Performs other related work as needed.

Minimum Qualifications

Education:
Minimum requirements include a college or university degree in related field.

Experience:
  • A minimum five years of professional related experience.
  • Event management, including planning, executing, and evaluating programs, and/or customer service positions in hospitality.

Technical Skills or Knowledge:
  • Computer proficiency in Microsoft Office Suite; comfort with technology, including the ability to maintain a calm and assuring composure when technical glitches occur.

Working Conditions
  • On-site for all assigned programs; flexible schedules based on number of program days. On average, 3 days in the office and 2 days remote.
  • Work early mornings, evenings and weekends, as needed, to provide program logistical support.
