Facilities Supervisor

Chicago, IL (Hybrid)

Salary Range: $70,000 - $75,000

RINA Consulting, doing business as Patrick Engineering in the US, is seeking a Facilities Supervisor to provide for the efficient operation of its facilities across its North America sites, currently consisting of approximately 400 employees in 5 primary offices.

This Supervisor will provide for a comfortable and compliant working environment, preserving the good condition of its infrastructure and ensuring the facilities are safe and well-functioning. This position will report to the Head of International Property and Facilities and Technical Management.

Primary Responsibilities

  • In partnership with the International Property & Facility team, manage lessee requirements as detailed in current office leases; facilitate renewal and the procurement of new office leases and any other facilities needed for the business
  • Manage a PPM (Planned Preventative Maintenance) Schedule and conduct daily/weekly/monthly/annual inspections as appropriate.
  • Manage all office maintenance contractors & vendors, as well as their contracts, to keep office spaces in good repair.
  • Submit work orders for the maintenance and repair items following the procurement process as well as the respective landlords' process.
  • Manage intake, assignments, and completion of items submitted through the ticketing system. Ensure actions are completed in a timely manner, coordinating with subcontractors and other key stakeholders.
  • Travel to office locations as needed to assist with the maintenance, moving and/or installation of furniture and equipment, as well as for the opening and closing of offices.
  • Managing the upkeep of building equipment and supplies to meet health and safety standards according to QHSE function indications
  • Support the IT and/or Security teams in the installation of the proximity access system for office access and installation of the office camera system as deemed necessary
  • Assist the International Property & Facility team in the implementation of North America sites in the Easydesk tool and keeping it updated according to the office opening and closing
  • Assist the human resources team with facility needs for onboarding newly hired employees as well as employees transferring employment to new office locations.
  • Inspecting buildings' structures to determine the need for repairs or renovations. Plan and coordinate installations and refurbishments of the North America facilities within budget.
  • Oversee and provide a proactive facility service for the North America cluster sites regarding efficiency and building maintenance etc. liaising with employees and external contractors to deliver compliance.
  • Ensure statutory compliance as it applies to buildings, infrastructure, and facilities management as well as health and safety requirements, working with QHSE colleagues, assisting in incident investigation and resulting actions where appropriate.
  • Support the Corporate HSE function in ensuring security aspects are covered - safe access to the site and the buildings, alarms, security access etc.
  • Manage improvement projects to maintain a high standard facility. Supervise and coordinate the work of contractors according to an agreed project plan, ensuring delivery on time, to specification and to budget, using H&S permits as required.
  • Respond appropriately to facilities emergencies or urgent issues as they arise.
