Job Description
Description We are currently in search of an experienced Office Manager to join our team in Chicago, Illinois. This role is integral to ensuring the smooth operation of our office and involves a range of responsibilities from handling accounts payable and receivable to managing invoices. The successful candidate will be proficient in using Microsoft Office Suites and QuickBooks.
Responsibilities:
- Oversee the day-to-day operations of the office to ensure efficiency and productivity
- Handle all aspects of accounts payable and receivable, ensuring all financial transactions are processed accurately and promptly
- Utilize Microsoft Office Suites for various administrative tasks such as document creation, data management, and correspondence
- Manage and organize invoices, ensuring they are sent, paid, and recorded in a timely manner
- Use QuickBooks for financial tasks such as tracking expenses, creating financial reports, and managing budgets
- Assist in the preparation and control of records, statistics, and reports regarding operations and personnel changes
- Coordinate office activities and operations to secure efficiency and compliance with company policies
- Manage agendas/travel arrangements/appointments etc. for the upper management
- Manage phone calls and correspondence (e-mail, letters, packages etc.)
- Support budgeting and bookkeeping procedures
- Create and update records and databases with personnel, financial and other data Requirements – Proficiency in Accounts Payable (AP) and Accounts Receivable (AR) management
- Experience with invoice processing and tracking
- Advanced knowledge of Microsoft Office Suites, including Excel, Word, PowerPoint and Outlook
- Experience with QuickBooks for financial management and reporting
- Strong organizational skills and ability to manage multiple tasks simultaneously
- Excellent communication and interpersonal skills
- Ability to maintain confidentiality of sensitive information
- Experience in office management or administrative roles
- Demonstrated leadership skills and ability to supervise and motivate a team
- Ability to problem-solve and make decisions independently
- High level of attention to detail and accuracy in work
- Ability to work in a fast-paced, deadline-driven environment
- Professional demeanor and strong work ethic.
