Overview
With approximately 15,000 students, Northern Illinois University (NIU) is one of the largest public universities in the state of Illinois. The Office Manager serves as assistant to the Department Chair in the Department of Marketing in the College of Business and provides administrative support for faculty, instructors, and staff members.
Position Summary
The Office Manager reports directly to the Chair of the Department of Marketing. The individual serves as the personal/confidential assistant to the Chair and provides administrative support that includes office management, personnel, budgetary, student oversight, and secretarial support for the Department Chair, faculty, and staff. This includes but is not limited to the Professional Sales Program and the Digital Marketing (Graduate and Undergraduate) Programs in the Department of Marketing. It is imperative that the Office Manager maintains confidential faculty merit/promotion/tenure and service report files as well as personnel files for civil service staff.

As a representative of the department, the Office Manager communicates and coordinates activities with COB Dean's Office, COB department offices, COB MBA Programs Office, COB student organizations, Offices of the Provost, Advancement/Foundation, Procurement, Registration and Records, Accounting, Bursar, and HRS offices related to Payroll and HR, alumni, and Management Executive Advisory Council members.

Although the primary function of this position is to support programming of the Department of Marketing and support its Chair, this position may be called upon during times of need to provide administrative coverage for other units in the college as well. Therefore, the expectation is that this is an in-person role with some flexibility granted as appropriate based on departmental and college needs.
Essential Duties and Responsibilities
Budget and Financial Administrative Support - 25%
Develops and monitors the budgets of general revenue accounts for the Department of Marketing and applicable NIU Foundation accounts on an on-going basis.
Prepares administrative paperwork for allocation and disbursement from these accounts.
Maintains transaction data on all accounts and prepares account balance summaries.
Assures that each expenditure is allocated consistent with university policies, as to the correct fund, cost center, and line item.
Assists the chair with preparation of the annual and summer budgets.
Prepares for deposit and disbursement of funds.
Maintain records of all expenditures for line items: purchasing office supplies, commodities, printing services, postage, contractual services, travel expenditures, P-card purchases.
Process all travel vouchers, check requests, and open orders.
Assists in administration of scholarship accounts and disbursements with department chair, Foundation Office, and students.


Office Operations - 25%
Represents the department as customer service representative. Being physically present in the office during most College of Business open times is essential.
