Description:

The Technology Procurement Operations Associate is responsible for supporting and enhancing the technology procurement processes within the organization. This role involves handling procurement activities, vendor management, purchase order processing, and ensuring compliance with procurement policies and procedures. The successful candidate will collaborate with internal stakeholders and vendors to ensure the efficient and effective procurement of technology products and services.

Key Responsibilities:

1. Procurement Process Management:

o Assist in developing and maintaining procurement processes for technology-related products and services. o Support the execution of procurement activities, including the creation and processing of purchase orders. o Ensure timely and accurate processing of orders, working closely with vendors to confirm delivery schedules and terms. o Address and resolve issues related to procurement, such as discrepancies, delays, or returns.

2. Vendor Management:

o Assist in identifying and evaluating potential technology vendors. o Support the vendor selection process through RFPs (Requests for Proposals) and RFQs (Requests for Quotes). o Facilitate the onboarding process for new vendors, ensuring compliance with company policies and standards. o Maintain an up-to-date database of approved vendors and monitor vendor performance.

3. Contract and SLA Management:

o Assist in drafting, reviewing, and negotiating vendor contracts and agreements. o Ensure that all contracts and SLAs (Service Level Agreements) are in place and meet the company’s requirements. o Monitor contract performance and compliance, addressing any discrepancies or issues that arise. o Maintain accurate records of all contracts and related documentation.

4. Compliance and Reporting:

o Ensure compliance with company policies, procedures, and industry regulations in all procurement activities. o Prepare regular reports on procurement activities, vendor performance, and cost savings. o Analyze procurement data to identify trends, opportunities for improvement, and cost-saving initiatives. o Provide insights and recommendations to management based on data analysis.

5. Procurement Systems and Tools:

o Utilize procurement software and tools to manage and track procurement activities. o Support the development and enhancement of procurement systems and tools to improve efficiency and effectiveness. o Provide training and support to internal teams on procurement processes and tools.

6. Stakeholder Collaboration:

o Collaborate with internal stakeholders to understand their technology procurement needs and requirements. o Work closely with finance, legal, risk, and IT departments to ensure alignment of procurement activities with company goals and policies. o Facilitate communication and collaboration between internal teams and vendors.

Additional Skills & Qualifications:

Qualifications:

- Education: Bachelor’s degree in Business Administration, Supply Chain Management, Information Technology, or a related field. See Experience if no degree.

- Experience: 1-3 years of experience in procurement, vendor management, or a related role, preferably within the technology sector. If no degree, two additional years of experience is desired or ability to demonstrate experience.

Skills:

o Strong analytical and problem-solving abilities.

o Excellent communication and negotiation skills.

o Proficiency in procurement software and Microsoft Office Suite.

o Knowledge of procurement principles and best practices.

o Ability to work collaboratively with cross-functional teams.

- Physical Demands: Virtual environment; may require occasional travel to vendor sites.

- Work Schedule: Full-time, standard business hours; may require occasional evening or weekend work to meet deadlines or address urgent procurement issues.
