Job Summary:
The Research Participant Pool Coordinator in the Department of Psychology supports the Introduction to Psychology research study requirement and the paid participant registry. Additionally, this role is a front-facing position and is responsible for the general office support and customer service needs of the department. Requires completion of basic training in the ethical practice of research with human subjects and participates in processes aimed at maintaining regulatory compliance with Northwestern Institutional Review Board (IRB).
This position is a full-time position at 37.5 hours per week and works onsite three/four days per week and two/one day(s) remotely during the academic quarters, with the opportunity for more remote work during the summer and breaks between quarters.
Specific Responsibilities:
Documents & Databases
Proof for spelling & grammar.
Enters information into spreadsheets &/or databases.
Compiles routine reports, statistics, tables, charts, etc. from readily available information.
Website
Assists with general department website updates.
Updates paid participant information on website.
Use Sona, a web-based system to track student and researcher studies for the lab requirement.
Accounting
Processes accounts payables &/or receivables.
Submits payment requests to compensate research participants.
Enters, tracks, & maintains documentation & logs of financial transactions.
Ensures that charges have posted to appropriate accounts.
Assists with reconciliation of accounts.
Reviews budget statements.
Completes routine payroll actions.
Human Resources
Processes a limited variety of routine HR transactions.
Coordination
Coordinates student sign-up and student credits for experiments; determines allotment of credits and students for experiments.
Coordinates missed appointments acting as point-of-contact between lab personnel and student participants.
Tracks student progress towards completion of credits to fulfill experiment requirement; submit change of grades for students as necessary.
Updates experiment and student reference materials, organizes and archives confidential materials for experiments.
Coordinates continuing review research protocol submission for department participant pool and paid registry to IRB (Institutional Review Board).
Verifies participating labs have approved research protocol on file with IRB.
Troubleshoots issues for experiments and student participants. Reports lack of compliance to faculty participant pool coordinator or IRB as appropriate.
Assists with editing, formatting and electronically distributes the monthly department newsletter.
Coordinates key inventory& records along with requests for new keys.
Coordinates dept calendar.
Coordinates registration & travel.
Coordinates events which may include scheduling rooms &/or guest speaker & arranging for routine materials, technology & refreshments.
Contacts
Initial point of contact for Psychology Department visitors, Psychology department email and main phone line.
Extensive communication with undergraduate students participating in Psych 110, Psych
110 faculty, faculty participant pool coordinator, and researchers.
Represents supervisor in routine/standard situations with various levels of personnel both internally & externally.
Student Services
Guides students through admissions process.
Advises students of research participation requirements.
Reviews student files/records for completion of participation. academic progress & referral.
Applies knowledge of participant pool and IRB guidelines. federal & state regulations.
Interprets existing policies & procedures; etc.
Operates wide format printer; maintains inventory and orders supplies.
Supervision
Coordinates work of receptionists, program assts, temporary/work-study students, etc.
Performs other duties as assigned.
Minimum Qualifications: (Education, experience, and any other certifications or clearances)
A high school diploma or its equivalent along with 2 years of administrative support experience is required.
Minimum Competencies: (Skills, knowledge, and abilities.)
Intermediate knowledge of word processing, spreadsheet, email, and database software programs is required.
Comfortable with public speaking.
Preferred Qualifications: (Education and experience)
Research experience at an undergraduate level.
Bachelors degree.
