Overview
Northern Illinois University (NIU) is accepting applications for the position of Administrative Aide. This is a full-time, 12-month position with benefits.
Position Summary
This position, reporting to the Sr. Associate Athletic Director/HR and Finance Administration, will have oversight of Human Resource functions within NIU Athletics and the Convocation Center as it pertains to students, extra help, independent contractors, and volunteers.

This position will assist the Sr. Associate Athletic Director/HR and Finance Administration in the management of all part-time employees for NIU Athletics and the Convocation Center.
Essential Duties and Responsibilities
Employee Processing
Leads and is responsible for all aspects of Human Resources as it pertains to the processing of Graduate Assistants, Extra Help, Student employment, Volunteers, and Independent Contractors for athletics/convocation center.
Stays abreast of university updates regarding these classifications and disseminates accordingly to the department as appropriate. Advises Sr. Associate AD of areas of concern regarding these classifications.
Oversees the maintenance and upkeep of the employee badge system.
Maintains the procedure manual for part-time employees, updating as required.
Assist with interview process of all part-time employees as required.


Time Management
Responsible for time management keeping and submission of all department employees. Inputs and maintains part-time employee payroll and time management database.
Prepares and submits Payroll summaries for approximately 360 part-time employees.
Resolve payroll issues for part-time employees.

Onboarding
Working with respective units, updates job descriptions accordingly.
Oversees onboarding process and new hire orientation for these classifications to include, but not limited to time recording training, and internal document review as required by the MAC, NCAA, or the department.
Provide guidance to department heads in the areas of hiring for these classifications.
Serves as mediator when HR issues arise between part-time employees.

Camps
Attends camp meetings as HR representative for part-time hires and coordinates payouts as approved by the Athletics Business Office camp liaison.

Ethics Testing
Manages and oversees all Ethic testing procedures for part-time staff.
Oversees CSA monthly submissions for all new/departing employees.

Key Control
Manages Key Control for all employees.

Report Review
Reviews position Funding Summary report for accuracy and completeness, collects and reviews timesheets.
Maintains employee list.

Training and Other Duties
Coordinates and leads yearly part-time employee training events.
Other duties as assigned.
Minimum Required Qualifications (Civil Service)
High school graduation or equivalent
Any one or any combination totaling five (5) years (60 months) from the following categories:
College course work in business, finance, accounting or a related field:
60 semester hours or an Associate's degree equals one (1) year (12 months)
90 semester hours equals two (2) years (24 months)
120 semester hours or a Bachelor's degree equals three (3) years (36 months)
Master's degree or higher equals four (4) years (48 months)

Progressively more responsible general or specialized office experience which included aspects of supervising staff or a job function, organizing, and performing duties that lead to knowledge of generally accepted office principles.
