Description:

The Department of Restorative is seeking a Program Assistant who will be responsible for organizing and carrying out administrative functions directly related to day-to-day operations of the department and its associated clinics.

The ideal candidate will have familiarities working with UIC systems in a health organization and/or an academic setting, the ability to work with a variety of partners, ability to adapt to a fast-paced environment, and have an agreeable temperament. The candidate will also enjoy working in a diverse healthcare environment and will have a deep commitment to excellence.

Duties & Responsibilities:

Serve as the main administrative liaison for all faculty, students, staff, and visitors to the department of Restorative Dentistry.
Coordinate travel and hotel accommodations and itineraries for faculty candidates invited for interviews.
Coordinate visits for department guests and speakers.
Organize and coordinate all meetings and special events. Schedule seminars and arrange luncheons for programs.
Send communications/emails on behalf of the Department Head, Advanced Prosthodontics Program Director, and Business Manager.
Mange the UIC phonebook and website content for the Restorative Department.
Maintain/update the Department faculty roster and quarterly schedules.
Maintain the Department Alumni roster and communications, including a Prosthodontics alumni newsletter.
Assist in the preparation of audiovisual material for presentations. Maintain department's electronic equipment; analyze and resolve the need for new equipment.
Order supplies, reconcile basic financial transactions, and prepare shipments for the department.
Conceive and administer special programs and projects. Function as a trouble-shooter for the unit. Consult with Department Head, Business Manager and Advanced Prosthodontics Program Director.
Manage the annual Departmental Faculty Review process communications and scheduling.
Manage all Faculty Development Fund requests in consultation with the Department Head.
Provide general administrative support for the unit. Participate in long-range planning and goal-setting activities.
Manage event and meeting calendar for the department.
Manage Advanced Prosthodontics resident national meeting communications, travel and reimbursements.
Retrieve and distribute department mail for faculty and staff.
Assist the Department Head and Business Manager with administrative duties as assigned.
Perform other related duties and participate in special projects as assigned.

Minimum Qualifications Required:

Bachelor's degree.
Demonstrated experience working in a health/and or academic environment.
