Position Summary
The Office Manager performs work in an independent manner dealing with highly confidential and sensitive materials for the Associate Dean for Academic Affairs. The primary function of the employee in this position is to provide assistance and support to the Associate Dean of the College of Law, to more than a dozen tenured/tenure-track faculty, and to an equal number of instructors, as well as to ensure the efficient operation of the faculty support office. The position supervises and relies on student workers.
Essential Duties and Responsibilities
General Support for Associate Dean for Academic Affairs and Faculty
Assists the Associate Dean with course scheduling, room assignments, and preparation and distribution of course block schedules.
Solicits book orders from professors and serves as liaison between agencies, bookstores and publishers (to procure textbooks, teaching manuals and other pertinent materials).
Establishes and initiates appointments, revises the principals' calendar, informs the principal of impending engagements.
Maintains class materials (copies and packets for individual professors and assists students in their procurement).
Maintains fiscal awareness and accountability of funds spent by the faculty cost center account by P-card.
Reviews and approves electronic travel voucher submissions and routes to the Business Manager. Receives class notes, syllabi, exams, hand-written publication manuscripts, legal briefs and professional correspondence for editing and production.
Distributes and collects monthly Faculty Benefit Reports for faculty members and Supportive Professional Staff and submits to College of Law payroll Assistant.
Assists Registrar in obtaining exam grades.
Assists Professors with merging of mid-terms and final exam scores.
Assists with coordinating exam administration with the Associate Deans .
Orders keys for adjuncts and new faculty.


Specific Support for Associate Dean for Academic Affairs
Establishes and initiates appointments, revises the principals' calendar, informs the principal of impending engagements.
Relieves the Associate Dean of numerous contacts by students, faculty, and external constituencies and independently determines a course of action.
Establishes and maintains confidential records and files and produces confidential correspondence.
Responds to inquiries on behalf of Associate Dean.
Serves as a liaison between the Associate Dean and external units on campus, students, faculty members, staff, and external constituencies.
