Position Summary
The Office Manager, under the direction of the Program Director and Assistant Dean for Graduate Medical Education (GME), is responsible for providing administrative support to the Regional Dean, assisting in the administration of the fellowship programs, and the institutional requirements as outlined in the Accreditation Council of Graduate Medical Education (ACGME). Duties require the use of judgment and initiative and require extensive knowledge of the organization, programs, and the activities of the administrators they support. It is essential for the employee to have the ability to exercise discretion in the handling of sensitive and confidential information.

Duties & Responsibilities

Maintain the calendar and schedule for the Regional Dean and the Assistant Dean for GME. Provide independent assistance for inquires and representing the principals as appropriate. Provide necessary documentation in preparation for various meetings and events.
Assist with event planning, including work orders, marketing, and food service for various meetings and orientations for Dean's office or GME events.
Provide administrative support for various university committees including the GMEC, Rockford Executive Committee, and Heads and Chairs meetings including taking and distributing meeting minutes and agendas.
Process and assist with faculty promotions as requested by the Program Director. Maintain records and information related to UICOM-R faculty in electronic systems.
Monitor budgets and expenditures related to the GME office and fellowship programs. Order necessary supplies, and process and reconcile charges, travel, and reimbursements using various university systems for the Dean's office and GME.
Serve as the Coordinator for the COM-R GME office which includes various fellowship programs. Answers inquiries and resolves problems that require the interpretation, explanation and justification of the GME programs at the Rockford campus. Interacts with accrediting agencies, healthcare affiliates, program faculty, program participants, and prospective applicants.
Act as the main point of contact for the Graduate Medical Education office for fellows, applicants, and faculty associated with programs.
Support the GME fellowship programs including recruitment and onboarding of new fellows and maintaining affiliate agreements, program goals and objectives, rotation schedules, and fellow/faculty evaluations.
Assist the Designated Institutional Officer (DIO) with data gathering and policy development to ensure compliance with ACGME accreditation standards and hospital and university policies.
Maintain and update the ERAS database, recruiting materials and various website information related to fellowship programs and the GME office.
Perform other related duties as assigned.

High school diploma or equivalent.
Two (2) years (24 months) of work experience comparable to the third level of this series.
