Description
This position provides primary assistance and administrative support to all areas under the direction of the Chief Medical Officer/Chief Medical Informatics Officer which includes SIU HealthCare (HC) Directors of Risk Prevention & Patient Safety, Quality & Performance Improvement & Analytics, Clinical Informatics & Integration, Care Coordination, Executive Director of Compliance and the administrative, office and clerical support for all of SIU HC Core specialty areas.
 Examples of Duties
Secretarial Support
1. Provide secretarial support and/or clerical support for the Director of Risk Prevention & Patient Safety, Director of Quality Performance Improvement & Analytics, Director of Clinical Informatics & Integration, Director of Care Coordination and their staff, Executive Director of Compliance, the CMO and other SIU HC leadership and management.
2. Complete and verifies Administrative Professional and Civil Service payroll, fringe benefit reports, attendance records, and use of benefit time for the HC Core Staff.
3. Coordinates the daily activities of the Director of Risk Prevention & Patient Safety, Director of Quality and Performance Improvement & Analytics, Director of Clinical Informatics & Integration, Director of Care Coordination, Executive Director of Compliance, The Chief Medical Officer (CMO) and other HC Leadership and/or other members of the SIUHC management team as requested.
4. Coordinates arrangements for local, off-site and out-of-town meetings by notifying participants, acquiring conference rooms, scheduling video conferencing, connecting laptop computers and phones for webinars and teleconferencing, and arranging any catering of food. Obtains, assembles and distributes materials needed to assure a productive outcome.
5. Responsible for placing calls for maintenance and custodial issues for the 201 E Madison building and following up on those requests, accompanying service people and supervisors for visits to the building and pointing out areas of concern.
6. Coordinates and makes all conference/travel arrangements for the Director of Risk Prevention & Patient Safety, Director of Quality and Performance Improvement & Analytics, Director of Clinical Informatics & Integration, Director of Care Coordination and their staff(s) and/or other members for the SIU HC administrative team, including making airline reservations, hotel reservations, ground transportation reservations and conference registration.
7. Tracks and maintains an electronic file system for all HC policies, including past, present and proposed policies.
8. Prepares and submits internal and external orders for Copy/Duplicating/Printing as needed for all of the CMO Directors and managers.
9. Answers telephones, takes accurate messages and fields calls from clinical staff, School of Medicine staff and patients regarding services offered within SIU HC Core offices for the members of the SIU HC management team. Projects a profession, efficient image and maintains a courteous and friendly attitude.
10. Provide support services for SIU HC Committees. Support services include coordinating agendas, assembling and distributing documents that will be presented at each meeting, taking and distributing meeting minutes, maintaining file systems for each committee, arranging video conferencing, scheduling meeting times, and reserving conference rooms.
11. Assists with composing correspondence and reports that represent the CMO, Directors and staff's positions, requiring extensive knowledge of the activities of the administration department.
12. Coordinate all online and interoffice procedures and reports that represent the CMO, Directors and staff's positions, requiring extensive knowledge of the activities of the administration department.
13. Assists other members of the HC secretarial team and identifies cross-training opportunities that include the offices of the Chief Financial Officer, the Chief Operating Officer, Credentialing and Contract departments.
14. Coordinates and/or oversees specific activities of the SIU HC leadership, including implementation of special projects, outside consulting projects, etc.
15. Maintains email list serves for all SIU physicians, all SIU clinic staff, SIU APNs, PAs and the 201 E Madison building.
16. Assists the Director of Risk Prevention and Patient Safety with processing third party user access requests, collecting documents, submitting requests to IT,
maintaining accurate IT tracking numbers and updating the Third-Party spreadsheet.
17. Reviews and distributes mail appropriately for SIU HC Core staff including the Chief Medical Officer, Chief Financial Officer, Chief Operating Officer and their departments, Compliance Office staff as well as re-routing mail that is mislabeled.
