Job Description Summary 
 The Visit Coordinator will report to the Associate Director of First-Year Admission. The coordinator will be primarily responsible for planning and implementing special events for the Office of Admission, working with faculty and staff across the university to ensure successful planning, execution, and post-event evaluation. In addition, the coordinator will serve as the primary point of contact for the daily operations of the Welcome Center and may assist with Admission presentations and/or meeting with individual families. The position requires regular work hours on campus to assist with daily functions within the Office of Admission and maintain a positive, personal interaction for all campus visitors to the Welcome Center.
Responsibilities 
 Responsible to model the University Mission through dedicated job performance, service excellence to constituencies, respectful collaboration and active support of the University's Mission and Catholic and Lasallian Higher education.

 

EVENT MANAGEMENT 

- Develop comprehensive event plans, including budgets, timelines, and logistics, for Campus Visit Days, Scholarship Programs, Summer Previews, Admitted Student Days, and high school group visits.

-Effectively communicate with faculty, administrators, and other university staff regarding their participation in events and coordinate event schedules accordingly.

-Collaborate with the Director of Enrollment Communications to promote events in a timely manner and coordinate student invitation lists, event invites and reservation communications

-Ensure accessibility and inclusivity for guests and participants

-Assist the admission staff to coordinate meeting arrangements with faculty, athletic coaches, or other university departments for individual campus visitors.

-Interact with Welcome Center guests and assist with formal admission presentations as needed


OPERATIONS 

-Serve as the primary calendar manager and point of contact for the Welcome Center with other university departments, such as Office of Technology, Facilities, Purchasing, Food services, etc.

-Maintain a welcoming and friendly reception area for visiting students and their families

-Manage the Office of Admission email account, responding to messages and/or forward as necessary

-Manage software for the university marquee sign


OTHER DUTIES 

-Assist with prospective student meetings or read applications as back-up to First-Year and Transfer Counselors

-Support the data processing team as needed with data entry projects

-Serve on various admissions or university committees as directed by supervisor
Minimum Qualifications 
 -Bachelor's degree required
-Previous experience with event coordination or related positions within higher education or related industry
-Highly proficient in Microsoft Office Suite, most importantly word processing, spreadsheet functions and database systems
-Demonstrate excellent interpersonal, oral and written communication skills to thrive in fast-paced, busy work environment
-Ideal candidate is highly detail-oriented, organized, energetic, self-motivated, and excels at building relationships
-Must work well in a collaborative environment with ability to offer creative solutions for problem-solving
