This position is an on-campus, full-time, 12-month, non-union supervisor appointment with an annual salary of $65,169.17.

The Associate Director of Admissions and Records is responsible for the planning and execution of all registration activities, accuracy of student data, credential evaluation, and transcript processing. The Associate Director is an appointment based on a schedule established by the Director of Admissions and Records. The position involves frequent handling of confidential information and records. Work contacts include students, administrators, faculty, staff, and community and governmental agencies.

Essential Job Functions:
Assist in the collecting, recording, and maintaining of records of all students who apply to/enroll in Parkland College.
Provides support to maintain a comprehensive, efficient and accurate system for keeping student records; supervises the updating and revision of student records.
Assist the Director in supervising personnel involved in the processing of student records and provide Annual Performance Reviews for same group.
Contributes to the development and maintenance of office policies and procedures to efficiently process applications, operational communication to students, record student data, evaluate credentials, and prepare transcripts of student academic records under the supervision of the Director of Admissions and Records.
Coordinates with other campus offices facilitate the enrollment of students.
Provide reports of student usage of the online registration system to appropriate offices and administration.
Collaborate in editing, updating, and maintaining the college catalog and class schedules, and eliminating inconsistencies between policies and procedures.
Assist in the training of staff on updates and other enhancements to the student information system.
Serve as a resource person regarding student records in coordination with other offices and departments of the College; serve as liaison with various offices involved in the maintenance of the student database.
Prepare and present on projects and subjects of interest to other departments.
Organize and conduct hiring searches as assigned by the Director of Admissions and Records

Perform other duties as assigned.

Minimum Requirements:
Bachelor's Degree and three (3) years of related work experience OR an equivalent combination of education and related work experience.
Demonstrated competency in Microsoft Office Suite applications and database management, with the ability to learn the Parkland College information systems and new programs as technology changes.
Knowledge of postsecondary programs and curricula.
Ability to organize and maintain large amounts of data.
Ability to communicate diplomatically, clearly and effectively, orally and in writing with a diverse population, and to project strong interpersonal skills.
Ability to handle sensitive or confidential material judiciously.
Ability to represent the Office of Admissions and Records at internal and external functions.
In an effort to comply with SURS return-to-work restrictions for employers (40 ILCS 5/15-139.5), candidates for employment at Parkland College must either not be a SURS annuitant or must be willing to suspend his/her SURS annuity upon employment. This applies to all SURS annuitants except those receiving their annuity under either the Self-Managed Plan (SMP) or by lump sum payment.
