Description
This position functions as supervisor of the medical reception unit at the Center for Family Medicine. As such, this position is responsible for seeing that staff in the unit maintains patient clinical and billing information as patients present to clinic. This position also ensures patient data is accurate and up to date; collects patient payments and provides initial assistance with billing and insurance problems; is responsible for ensuring deposit accuracy on a daily basis and addresses complaints. This position coordinates the day-to-day operations in the area including duties associated with the revenue cycle process and the electronic health record.  
 Examples of Duties

50% Administration - Supervision

1. Hire, supervise and evaluate staff in unit including 1st ,2nd floor reception areas as well as reception area that supports Access Care Clinic, Behavioral Health and Dietician services.
2. Orient and train new staff in unit.
3. Competency established staff in unit on an annual basis.
4. Monitor productivity of staff and provide appropriate feedback or corrective action where there are areas of concern.
5. Attend internal clinic operations meetings representing the reception unit.
6. Make recommendations on how unit can operate more efficiently and effectively.
7. Answer questions, problem solve and coordinate all aspects of the unit.
8. Set daily priorities for staff in unit.
9. Work with other managers at the Center to assist in covering critical areas.
10. Responsible for overall on-site Cash Control and end of day closeout Batch Management.
11. Assist in handling patient complaints and provider appropriate feedback to staff.

40% Direct Service to Patients - Patient Registration & Insurance

12. Assist in receiving and welcoming patients into the clinic.
13. Interview patients to obtain demographic and billing information and enters into the computer.
14. Stay abreast of changes in the insurance plans and the FQHC levels for uninsured.
15. Access computer terminal to input, update, retrieve and review patient demographic and billing data for new and established patients
16. Create initial medical record for new patients ensuring all new patient forms are completed as required.
17. Obtain patient's signature on authorization forms
18. Generate daily schedules, prints encounter forms and demographic information
19. Ensure charge tickets are completed and physician, demographic and billing information is accurate
20. Scan and/or index patient insurance cards, ID's in to the practice management system.
21. Distribute patient link forms and ASQ's/PSC's when appropriate and scan/enter into the patients chart.
22. Assist in printing patient chart summaries out of the EHR for clinics.
23. Assist in making follow-up appointments.
24. Collects payment at time of service, always knowledgeable of managed care co-pays.
25. Completes and maintains necessary receipt register.
26. Responsible for ensuring the accuracy of the daily deposit before it is forwarded to

10% Education - Training of Residents & Other Learners
27. Assist in the orientation of new residents by presenting at the July Orientation Session.
28. Assist in training second and third year residents by allowing a 1-2 hour observation session at the front desk.
29. As requested, assist with introduction of reception functions for other learners such as medical students, physician assistant students, osteopathic students and medical assistants.
 Qualifications

Any one or any combination totaling five (5) years (60 months), from the categories below
College education with course work in a business medical field such as nursing assistant, medical assistant, or medical secretary and/or business fields such as business, finance, public administration, or social science, as measured by the following conversion table or its proportional equivalent:
30 semester hours equals one (1) year (12 months)
Associate's Degree (60 semester hours) equals eighteen months (18 months)
90 semester hours equals two (2) years (24 months)
Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
Work experience or ancillary service experience comparable to the Medical Office Specialist level or other positions of comparable responsibility.
