Executive Assistant (Hybrid Chicago)

General Overview:
Based in Chicago on a hybrid schedule, the Executive Assistant role supporting 4 individual C-level execs to varying extents, is one of organization, attention to detail, proactive management of administration and logistics that keep the "C-Suite" office and infrastructure running smoothly. This role works independently while interacting daily with other Executives, Senior leaders, our Board of Directors/Onex, and various internal departments as well as with external clients/suppliers. The role entails providing administrative support, extensive calendar management, managing all travel local and international, handling information requests as they arise and independent problem solving.
Responsibilities:
Manage executive travel: Flights. Hotels and car services.
Manage the calendars on behalf of executives. Monitor scheduled appointments, upcoming events, and matters requiring immediate attention.
Have visibility/access to Executive team calendars also to manage team meetings.
Complete expense reports & reconciliations required, within company policy & guidelines.
Editing and development of Microsoft Office documents (excel, power point etc.) as needed.
Administrative duties including taking on special projects as requested.
Organize, coordinate, and deliver internal and external projects as required. This can include internal and external special events (client meeting setup, board meeting setup if required, company events) etc.
Success in This Role:
Success in this role will be creating a trusted relationship with all 4 executives and maximize their calendars, communications with clients and preparation for meetings. Doing this with enthusiasm, a positive attitude and developing a trusted relationship with the Executive team and BOD. Consistently demonstrating the ability to execute with excellence, proactive thinking, detail oriented and readily adapt to changing environments.
Education/Experience Requirements:
The ideal candidate will have 5+ years of experience in an E.A. role.
Completion of a post-secondary Business or Administration program an asset
Must be technologically proficient.
Complex knowledge & experience booking travel, domestic and international.
Experience visas applications is highly regarded.
Demonstrate experience in project management.
Proven Ability to Multitask
Proficient MS Office Suite skills
An all-around team player. Willing to go above and beyond their daily duties as required.
