Job Description

After School Matters provides Chicago high school teens with high quality, after-school and summer opportunities to explore and develop their talents while gaining critical skills for work, college and beyond. Since 1991, more than 200,000 teens have participated in our hands-on, project-based after-school and summer programs in the arts, communications and leadership, sports and STEM (Science, Technology, Engineering and Math). Programs take place at locations throughout the city including Chicago public high schools, Chicago Park District and Chicago Public Library locations, community organizations, downtown at the Gallery 37 Center for the Arts and in Belmont Cragin at the Michael and Karyn Lutz Center for After School Matters, and at our new Gately Center scheduled to open Spring 2020. Summary of Position: This position will support the Program Quality and Compliance Department with a wide range of projects related to community provider assessments, technical support, program and contract compliance, and other compliance-related projects. This position is a good fit for someone who is detail-oriented and interested in learning about organizational systems and infrastructure. Major Duties and Responsibilities:

+ Answer questions (phone calls and emails) from potential providers regarding the Renewal and/or Rolling Interest processes and current program providers to offer support and instructions related to missing items

+ Update provider manuals, training videos, and various resources

+ Update and maintain Provider portal

+ Generate reports such as the Contract Status Report, Expense Reports, Insurance Reports, etc. to assist data deliverables to various internal and external stakeholders

+ Assist with and/or conduct compliance assessments, finance audits, and payment processes for community-based organizations

+ Support team with administrative tasks (e.g. copying, scanning)

+ Create and maintain digital onboarding files

+ Track submission of documents; identify missing documents and incomplete onboarding requirements

+ Call and email community-based organizations to offer support and instructions related to missing or incomplete items; respond to basic customer service inquiries

+ Enter data, such as background check clearance and completion dates, into staff checklists

+ Assist with data quality checks, such as identifying duplicate data

+ Support team with scanning employment documents

+ Participate in approved to work site visits

+ Other duties as assigned

Knowledge, Skills and Abilities:

+ Detail-oriented, organized

+ Analytical problem solver

+ Proficient with Microsoft Office applications

+ Ability to work independently and in a team

+ Excellent verbal and written skills

+ Intermediate Microsoft Excel skills preferred

+ Basic experience using QuickTime and other video editing software is preferred.

Qualifications:

+ Candidate must have either (1) Bachelor’s degree and 2-4 years of related experience or (2) High School diploma/GED and 6-8 years of related experience. Related experience means experience in administrative services with an emphasis in project management, administrative support and customer service.
