As the community center of the University, the Illini Union draws together all members of the University with approximately 16,000 visits of students, faculty, staff, alumni, and guests on a daily basis. This includes supporting the academic mission of the University by developing environments conducive to student learning and academic success, respecting, appreciating, and advocating for the diversity of our student population, and supporting the holistic development of all our students.

Job Summary
Pivotal in managing a diverse array of strategic initiatives and projects, including facilities, operations, retail, and student programming. Plays a critical role in event management and execution, act as the director's deputy during absences, and oversee student interns. This position is central to spearheading initiatives that align with and further the mission of the student center.

Duties & Responsibilities
  • Project Management
    • Oversee multiple projects and strategic initiatives of varying scope, ensuring timely completion and alignment with the Illini Union's goals. Projects may include improvements to facilities, operational enhancements, retail operations, and diverse student programming initiatives.
    • Monitor project timelines and budgets, ensuring they are completed successfully and within established parameters and provide regular updates and reports to the senior leadership team.
    • Responsible for the development of budgets, reports and presentations including but not limited to strategic planning, new initiatives and high-level business plans, annual reports, Big Ten Union director reports, presentations, and more as needed.
    • Develop detailed work plans, schedules, project estimates, resource plans, status and budget reports, and manage the day-to-day operational aspects of assigned projects.
    • Plan, coordinate, and execute conferences, programs, and strategic initiatives that align with the Illini Union mission and advance community building within the organization and with alumni. Ensure all logistical details are managed effectively. Act as the primary point of contact for inquiries and issues.
    • Facilitate meetings and communicate difficult/sensitive information tactfully and propose solutions.
    • Develops and oversee the Illini Union Alumni program in collaboration with Student Affairs Advancement, Illini Union Senior Leadership and Illini Union Board by supporting membership and annual activities, encouraging engagement and leadership, and inspiring philanthropic support.
    • Create and nurture opportunities for meaningful alumni engagement throughout the Illini Union organization.
  • Data Management and Analysis
    • Conduct data analysis to inform decision-making and develop comprehensive reports on project outcomes, operational efficiency, and other key metrics. Continuously improve project management processes and procedures to enhance efficiency and effectiveness.
    • Identify risks and issues proactively and develop mitigation plans to address them. Maintain project documentation making sure all project documents are complete, signed, current and stored appropriately.
    • Lead role in maintaining and utilizing alumni data.
  • Supervisory
    • Recruits, hires, trains and supervises Executive Director's interns. Meet with interns routinely to follow up on projects and initiatives. Serves as a resource for interns on project implementation and educate interns in organizational management of the Illini Union.
    • Manage the Executive Director's Communication Plan and maintain excellent communication with all stakeholders, including all internal and external constituents. Ensure that all communications are clear, professional, and aligned with the student center's mission.
    • Coordinate with the Executive Director and Marketing Director to develop communications plans for internal and external audiences including; staff, partners, alumni and others.
  • Other
    • Reviews and recommends revisions to organization-wide systems, policies, and procedures on a bi-annual basis. Presents proposed new policies as necessary.
    • Serves on internal and/or external committees.
    • Performs other related duties as assigned.
Additional Physical Demands
Most work will be accomplished in a typical office work environment.
Hours of work are necessary to accomplish the position's responsibilities assigned. Occasional work on some evenings and weekends will be required.
Position involves working under pressure in stressful situations and working on numerous projects simultaneously.
Position may involve light lifting when managing files and publication materials.
Position may be eligible for hybrid work schedule.

Minimum Qualifications
  • Bachelor's degree in business administration, management, or a field related to the position.
  • Two (2) years of professional business, financial, and/or managerial work experience in project management in higher education student affairs/student life.
    (*Note: A Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)
  • Demonstrated experience with data analysis and/or report development.
  • Demonstrated experience in event management and/or programming.
  • Demonstrated experience supervising and mentoring staff or interns.
Preferred Qualifications
  • Master's degree in business administration, management, or a related field.
Knowledge, Skills and Abilities
  • Excellent communication skills, both written and verbal, with the ability to engage effectively with diverse audiences.
  • Strong organizational and time management skills with ability to prioritize tasks effectively.
  • Strong leadership abilities.
  • Strong analytical skills with proficiency in data analysis tools and software.
Appointment Information

This is a 100% full-time Civil Service 5010 - Business/Administrative Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after 8/19/2024. Salary is commensurate with experience, with the minimum salary being $60,000 per year. Hybrid work options may be available for this position, with the ability to be on-site at the University of Illinois Urbana Champaign campus as needed per the University's Workplace Flexibility policy.
