Estimating Administrative Assistant
Full Time / 40 Hour Weeks Minimum
Reports to: Vice President of Estimating Department
It is the responsibility of the Estimating Administrative Assistant to effectively and efficiently manage the estimating administrative bid process, from notification of a bid through final bid closeout, in collaboration with the estimating team.

Essential Job Duties and Responsibilities
· Maintain and distribute IHC’s current Bid Board
· Secure bid documents from owner source; download and distribute plans & specifications
· Review initial bid documents, identifying and tracking key dates and requirements
· Complete any prequalification requirements
· Publish on trade publications
· Extract and prepare required bid forms
· Communicate with bond and insurance companies; ensure receipt of required documentation
· Work with Estimators and Managers to ensure pre-bid coverage and bid-day courier
· Extract and communicate PCE Good Faith Efforts to Estimating Coordinator
· Assist Estimators with submitting/tracking Requests for Information (RFI)
· Download/distribute/track owner answers to RFI’s
· Review final bid documents with Estimating VP or Lead Estimator
· For hand-delivered bids, review bid form completion with bid runner
· For electronic bids, verify the process and upload final documents as available
· Provide bid day support to Estimating team as needed, including final closeout
· Record final bid results
· Other miscellaneous duties as assigned

Competencies and Qualifications
Construction industry experience preferred, including familiarity with plans and specifications
Strong proficiency in Microsoft Office and with PDF software (Adobe Acrobat)
Capable of navigating new technologies quickly and effectively
Strong written and verbal communication skills
Excellent time management skills
Excellent organizational skills and attention to detail
Ability to perform with excellence in a fast-paced work environment with tight deadlines
Ability to work independently, to take initiative and conduct research as needed
A team-player who collaborates in a professional and positive manner
Preferred Education / Experience
Some college
One to three years of estimating admin experience
