Job Summary:
The NUIN Program Assistant Temp will help maintain daily operations in the NUIN graduate and sponsored programs groups and provide coverage during a period of staffing turnover. During their assignment they will work as part of a team to host four major events, help orient a new class of PhD students, schedule group and 1-on-1 meetings, assemble trainee grant applicant packages, order supplies, and monitor the NUIN inbox.
NUIN is comprised of the Northwestern University Interdepartmental Neuroscience (NUIN) graduate program, a cross-campus Ph.D.-granting organization that serves ~120 graduate students and ~160 faculty housed in approximately 30 departments; the NIH funded NU-PREP postbaccalaureate program housed within the NUIN department, and three NIH funded T32 training grant programs. The NUIN PA1 temp will be a critical member of a dedicated team of administrators.
Northwestern HR summary of the PA1 role:
Provides standard & routine clerical & administrative support which may include word processing, data entry, ordering supplies, opening & sorting mail, copying, filing, faxing, answering phones, greeting visitors, providing information, &/or scheduling meetings.
Specific Responsibilities:
Documents & Databases
Prepares & types form letters, simple memos, emails, labels, routine correspondence, etc.
Types, copies &/or distributes reports, proposals, presentations, etc.
Proofs for spelling & grammar.
Enters information into spreadsheets & databases.
Runs standard reports.
Website
Uploads content to faculty/dept website.
Accounting
Maintains inventory & orders supplies.
Resolves payment & delivery problems.
Processes transactions such as petty cash, travel & parking reimbursements, grant expenses, invoice payments, etc.
Balances accounts.
Human Resources
Prepares forms & verifies information.
Coordination
Makes appointments.
Completes registration & travel arrangements.
Schedules rooms.
Arranges for routine technology & refreshments for meetings.
Contacts
Greets visitors, responds to inquiries, requests & provides routine information.
Contacts repair personnel as requested for copy machine, lab equipment, etc.
Student Services
Provides information on courses, general requirements & policies & procedures.
Processes forms.
Sets-up & maintain records.
Reviews forms for completeness, etc.
Coordinates class schedules, registration.
Proctors exams.
Coordinates copyright clearance.
Supervision
Coordinates work of temporary &/or work-study students.
Miscellaneous
Performs other duties as assigned.
Minimum Qualifications:
HS diploma or equivalent required.
1 year administrative support or other relevant experience required.
Minimum Competencies: (Skills, knowledge, and abilities.)
Basic knowledge of word processing, spreadsheet, email, and database software programs.
Target hiring range for this position will be between $18.42-$20.00 per hour.Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
