Position Summary

UIC is seeking an Extra Help Business/Administrative Associate to join our College of Medicine, Department of Medicine -Division of Pulmonary, Critical Care, Sleep and Allergy team. This role will provide administrative support to the Director of Administrative Operations and Division Chief of the Division of Pulmonary, Critical Care, Sleep and Allergy.

Duties & Responsibilities

Co-manages the day to day administrative operations of Pulmonary, Critical Care, Sleep, and Allergy alongside fellow support staff. This includes providing cross-coverage as well as supporting the orientation of new professional staff. As necessary schedule meetings for Faculty and Lab personnel as well as Divisional meetings when necessary.
Process TEM, P-Card and I-Buy request for all faculty and laboratory managers. Control expenditures for assigned faculty accounts (grants, start-up, etc.) with the purchase of office equipment and supplies. Assist Director of Administrative Operations with purchasing processes and budget. Analyze and present the need for new procedures and equipment within the Division.
Will assist in Grant Application pre-award processes along with assisting with post-awards when necessary. Ability to run Reports from banner/My Financials and work alongside grant Coordinator on a monthly basis Enhance and maintain division website to improve the image of the Division of Pulmonary, Critical Care, Sleep, and Allergy. This will include providing a clear vision of presentation objectives, structural design, and content updates.
Manages the Annual Inventory report for the Division and reports to the Department of Medicine
Manage the rotation of medical student schedules and conferences in new innovations and perform associated related tasks and special projects.
Coordinate faculty candidate itineraries, travel plans, research seminar talks, reimbursements, etc. Coordinates presentations from outside speakers and/or special events for junior faculty development.
Responsible for the development and implementation of special projects as determined by the Director of Administrative Operations and the Division Chief.
Perform other related duties and participate in special projects as assigned.

Qualifications:

Bachelor's degree in business administration, management, or a field related to the position.
Two (2) years of professional business, financial, and/or managerial work experience.

(NOTE: A Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)
