$75,000-85,000 BOE

The Assistant Facilities Manager supports a team of 3-4 Facilities Managers and work collaboratively with support personal to manage maintenance, repair, and services to a geographical associated portfolio of 35 - 55 locations. The Assistant Facilities Manager supports facility maintenance, work order management and reporting, customer/client services, financial operations, and supplier management. The position will also support client relationship management with internal and client stakeholders in achieving the client's real estate goals and objectives.

JOB RESPONSIBILITIES
Works under the direction of Facilities Managers in a matrix environment
Assist and support Facility Manager to execute the contract requirements
Reviews CMMS data and provides analysis to the Facilities Managers to support performance management SLAs and KPIs
Maintains and managesproject requirements for assigned locations; where appropriate, manages facilities and engineering projects
Manages projectrequirements through completion and payment
Supports the successful documentation and completion, closeout,and client engagement on emergency response
Ensures client funding process requirements for their assigned portfolio are correctly managed
Responsible for the quality control component within the Quality Management System
Manages process compliance as defined in SOP's and other documents
Trains and supports Facility Coordinators in operations service delivery and best practices
Manages vendor performance including custodial services
Manage by fact using available data to support decision making and issue resolution to ensure high quality facility management services at assigned facilities
Assist in the development and management of the detailed annual operating budget for each assigned facility
Assist in the development and management of capital budgets for assigned facilities; ensure all equipment and work orders are documented in the CMMS and facility conditions are properly documented and monitored
Assists with after hour access and makes sure that security is notified; assists in obtaining keys if needed
Assist in the development and implementation of the annual management plan; achieve all KPI's/SLA's for assigned facilities
Supports appropriate monthly/quarterly/annual reporting required by client
Ensure compliance with all Jones Lang LaSalle and client policies, procedures, and standards
Always performs work in a safe manner in compliance with JLL and client policies and requirements; identify and promptly rectify safety hazards; comply with all safety training requirements; Track and reports accident, incidents and near misses
Work with Facility Manager to ensure facility conditions are properly documented and monitored in the CMMS (WebTMA), including spot check facility management services for assigned facilities for cleaning issues, maintenance requirements, hazards, etc.
Support small operational projects at assigned facilities; use CMMS tool for documenting, budgeting, and funding; find scope and gather costs by collecting quotes; communicate with appropriate stakeholders and manage stakeholder expectations
Ensure all equipment, work orders, and PMs are documented and then completed in the CMMS (WebTMA)
Submit, review, and approve purchases for maintenance purposes in CMMS (Oracle)
Assist in the supervision and management of engineering staff training and professional development
Additional duties and tasks as assigned
