We are searching for an Investment Administrator to join our client’s growing company in Chicago, Illinois. This role is primarily responsible for providing administrative and legal aid to the Manager of Due Diligence and the Due Diligence Group. This is a hybrid position that requires an on-site presence 4 times a week with 1 day work from home.

Key Job Responsibilities:

+ Support by assisting in various projects related to acquisition, disposition, and development transactions while maintaining corporate closing records and due diligence files.

+ Coordinate with brokers and buyers by organizing and delivering marketing/seller materials. Assume charge of warranty transfers, preparation of schedules for completion of contracts and leases, execution of contracts and closing documents for transactions.

+ Assist in finance projects by providing relevant information to lenders and other attorneys.

+ Handle the processing of construction payments for development projects, maintain and update the Project Draw List and Draw Summary, provide accounting with weekly cash request updates and quarterly accruals, and ensure compliance with construction contracts.

+ Manage consulting agreements and administration of insurance certificates and monitor holdback escrows.

+ Manage workload to meet deadlines and priorities, perform routine department functions, and generate routine correspondence for manager review.

+ Schedule events such as meetings, conferences, interviews, luncheons, and manage logistical requirements.

+ Use microcomputer software to generate various documents, emails, reports and ensure accurate and consistent formatting, data accuracy, and correct grammar and punctuation.

+ Prepare, collate, and distribute correspondence. Maintain filing systems and file documents accordingly.

+ Track and process accounting information such as expense reports, invoices, subscription renewals, wire transfers, and check requests as per established guidelines.

+ General duties include ordering office supplies, monitoring office equipment, photocopying, report compilation, handling express deliveries, etc.

+ Coordinate with and follow up on the tasks of support staff.

+ Perform other tasks as assigned.

Requirements

Skills and Competencies Required:

+ Minimum of 1-2+ years of relevant experience.

+ Proficiency in Microsoft Office and other corporate software, with knowledge of legal terminology and real estate, ability to interact well with various contacts.

+ Strong interpersonal and verbal communication skills for tasks such as screening callers, scheduling meetings and travel, interacting with other departments etc.

+ Written communication skills, including the ability to draft accurate documents and review and check them for clarity and accuracy.

+ Computer skills to enter and manipulate data, use standard software to communicate, prepare documents, and analyze data.

+ Internal Contacts: Regional and corporate management and staff for sharing information, scheduling meetings, and communicating executive requests.

+ External Contacts: Management and executive personnel at businesses such as vendors, real estate developers, investors, financial institutions, consulting firms, attorneys, title companies etc. to obtain, clarify, and share information.
