Job Summary
Serves as the assistant and provides clerical support to the following positions in the Office of Extension and Outreach in the College of Agricultural, Consumer and Environmental Sciences: Associate & Assistant Directors Budget and Finance, and Workforce Development. Handles various reporting, reconciliation, and backup duties critical to success operation of the Business Office.

Duties & Responsibilities
  • Travel Administrative Duties
    1. Review and complete travel and P-Card expense reports, as a Charge Code Reviewer, in Chrome River in conjunction with other Travel Personnel.
    2. Assist users with Chrome River questions as they arise.
    3. Assist with oversight of student employees as needed.
    4. Serve as backup to the Lead Travel OSA/OSS.
  • Support Duties
    1. As requested, answer Extension incoming phone calls and route accordingly.
    2. Maintains daily on-line calendar and informs Associate Directors of scheduled engagements.
    3. As directed, composes, and finalizes a variety of general, confidential, and sensitive documents representing departmental responsibilities and position on issues.
    4. Establishes and maintains existing paper and electronic confidential records and files.
  • Miscellaneous Duties
    1. Performs related duties as assigned or identified by the Associate and Assistant Directors and the Lead Accounting Associate.
    2. Comply with Affirmative Action and EEO policies and procedures statement.
Minimum Qualifications

High school diploma or equivalent.
Any one or combination totaling eighteen (18) months from the categories below:
College coursework in any curriculum as measured by the following conversion table or its proportional equivalent:
30 semester hours equals one (1) year (12 months)
Associate's Degree (60 semester hours) equals eighteen months (18 months)
Work experience performing office/clerical activities, including the use of computer systems.

Knowledge, Skills and Abilities
  • Knowledge of the University of Illinois, College of Agricultural, Consumer and Environmental Sciences, and Office of Extension and Outreach policy and procedures.
  • Excellent keyboarding skills to complete the duties and responsibilities of this position. Computer literacy and working knowledge of Microsoft Office products (PowerPoint, Word, Excel, Outlook, Access). Familiarity with University business systems.
  • Knowledgeable of secretarial rules and guidelines appropriate for business and administrative correspondence and communications, including business letters and email.
  • Working knowledge of various types of office equipment such as computers, printers, copiers, typewriters, calculators, fax, etc. and to be able to accomplish work in an accurate and timely fashion.
Appointment Information

This is a 100% full-time Civil Service 0846 - Office Support Associate position, appointed on a 12-month basis. The expected start date is as soon as possible. Salary for position is $36,901.80.
