The professionals in our enrollment management area provide support to new and prospective students. Our advisors and counselors guide students through the admission and financial aid processes and introduce them to campus life.
Position Summary
Northern Illinois University (NIU) is accepting applications for the position of Admissions and Records Assistant in our Call Center. This is a full-time, 12-month position with benefits. This position requires the individual to work accurately and effectively with Admissions information and functions. Attention to detail is very important when working with visitors and students. This position also requires an attitude and ability to deal with visitors and students in a mature, professional, and sensitive manner. Familiarity with NIU web content is required. The Call Center Supervisor and Associate Director provide guidance as necessary.

The basic function of this position is to provide information services to all individuals contacting the Office of Admissions via the telephone regarding admission standards, deadlines and procedures, general questions about Northern Illinois University, and referring students to appropriate office on campus. Also, assist with data entry on special projects or programs during certain times of the year as the need arises.

In-person, remote, and hybrid work options are available.
Essential Duties and Responsibilities
Call Center Staffing
Assisting the inbound Call Center by answering telephone inquiries and routing calls appropriately when necessary.
Serve as a resource for other staff and student workers with University related inquiries.


Customer Service Support
Responsible for answering inbound calls from prospective students, families, alumni, and school officials, while providing a positive image of the University.
Carefully determines any additional and/or important actions needed to serve each caller.
Maintains working knowledge of the Office of Admissions recruitment events, protocols, and activities, in addition to NIU departments and functions, which is used to identify appropriate NIU departments and staff who should be connected with each caller for follow-up when appropriate.
Provides the highest level of customer service through daily phone conversations and face-to-face contact during special events.

Data Entry
Utilize computer software to discern questions and actions each student needs, review and update student records, and register students and families for campus visit events and activities. These systems currently include: PeopleSoft, Mainstay, and Slate.

Outgoing Communication Support
Assist with the preparation and distribution of mailings to prospective students, admitted students and the general student population.
Perform and assist with other duties and responsibilities as assigned by the Admissions Administrative staff, such as data entry.
