Applications are now being accepted for the Distribution Clerk position at the University of Illinois at Urbana-Champaign.

As the community center of the University, the Illini Union draws together all members of the University with approximately 16,000 visits of students, faculty, staff, alumni, and guests on a daily basis. Job Summary
Assists in the coordination of shipping, receiving, and distribution operations, including but not limited to receiving, processing, storing, and pickup and delivery of all supplies, merchandise and materials ordered and/or produced by Illini Union Retail Operations, as well as direct supervision of student employees. Maintains physical inventory, including creating accurate inventory, pricing of products, maintaining daily shipping and delivery logs. Oversees shipping of all incoming and outgoing shipments.

Duties & Responsibilities
  • Shipping and Receiving Operations
    • Coordinates and executes the loading, unloading, receiving, unpacking, storing, and distribution of all supplies, merchandise, and materials ordered and/or produced by Illini Union Retail Operations, including the Illini Union Bookstore, Document Services, Quad Shop, Tech Zone, and Starbucks.
    • Assists with USPS Mail, UPS, FedEx, and freight truck shipments, ensuring accurate carton counts.
    • Responsible for arranging timely transportation, driving trucks as needed, and managing the efficient pickup and delivery of proofs and completed orders for all Document Services' units; maintaining communication with supervisor for alternate solutions when the task cannot be executed as planned. May require acceleration of pickup and delivery process for "rush" requests.
    • Assists in selecting the most efficient and effective shipping/delivery methods for outgoing shipments and ensures timely shipping via various carriers.
    • Assists in pricing incoming merchandise and corresponds with vendors to correct problems with shipments and check the status of unfulfilled orders.
  • Inventory and Documentation Management
    • Responsible for maintaining physical inventory, creating accurate inventory records, pricing products, ensuring consistent organization of backstock, and conducting bi-monthly audits to ensure compliance.
    • Records and maintains daily logs for all incoming and outgoing shipments and deliveries to support fulfillment operations.
    • Assists in preparing and maintaining a manual of instructions to ensure standardization of procedures for distribution, receiving, packing, and shipping processes to meet the needs of bookstore and document services operations.
  • Supervision and Training (when applicable)
    • Trains student employees, part-time staff, and other assigned personnel.
    • Oversees the cleaning of the work area, ensuring employees follow safety rules and notifying supervisors of any unsafe or unsecure conditions. Flattens and disposes of empty cartons and packing materials as needed.
Additional Physical Demands
Physical Demands:
Position involves the movement of various sizes and weights of cartons up to 60 lbs., pallets of boxes 1000 lbs+ and climbing up to a high level of shelves to retrieve supplies and/or overstock. There are long periods of remaining in a stationary position, bending, or moving about. Position involves working under pressure in stressful situations and managing numerous projects simultaneously.

Working Conditions:
Work may be in any of the following locations: shipping/receiving environment, remote warehouse, office, production, and storage areas as well as delivery around campus. Position may involve exposure to extreme temperatures and a variety of weather conditions, as well as navigating campus traffic and parking.

Minimum Qualifications
  • High school diploma or equivalent.
Knowledge, Skills and Abilities
  • Ability to operate computers with basic computer skills, drive vehicles as needed and possibly pallet jacks as well as walk-behind forklifts.
  • Good verbal and written communications skills, good organizational skills, attention to detail, and the ability to be flexible in work habits and schedules.
  • General understanding of good customer service, retail, receiving, and pricing principles, and mail and freight regulations.
  • Knowledge of campus layout, including understanding the layout of the Urbana campus streets and buildings, noting changes as they occur.
  • Ability to consistently uphold the highest standards of professionalism as a representative of Illini Union Retail Operations and actively participate in departmental and campus events.
Appointment Information

This is a 100% full-time Civil Service 0764 - Distribution Clerk position, appointed on a 12-month basis. The expected start date is as soon as possible after 7/29/2024. Salary is commensurate with experience and starts at $16.92. Sponsorship for work authorization is not available for this position.
