Director of Administration II

Department of Public Health

Bureau of MICAH

Number of Positions: 1

Starting Salary: $80,628

Under general supervision, manages and supervises administrative functions in support of the operations of the Department of Public Health

ESSENTIAL DUTIES

· Develop bureau-specific administrative, personnel, contract management, and fiscal policies and procedures.

· Research, compile and analyze data to prepare administrative, personnel, and fiscal reports for the bureau.

· Develop and maintain bureau programs with processes to ensure sound management, expenditure tracking, and compliance with contracts.

· Collaborate with Human Resources teams at CDPH to manage hiring-related information for the bureau, including, staff vacancies, personnel funding sources, cost allocation plans, and ensure personnel activity reporting system data are accurate and up-to-date.

· Develop and oversee bureau-specific onboarding procedures for new hires and ongoing professional development opportunities for staff.

· Manage bureau-level inventory of technology and equipment.

· Interpret and relay management directives to staff.

· Participate in execution of special projects and prepare reports on progress.

· Study office operational processes and recommend procedural changes to improve efficiencies.

· Create and maintain databases and spreadsheets using various software packages.

· Edit and proofread documents.

· Support grants management and budgeting processes specific to the bureau.

· Manage administrative staff.

Additional duties may be required for this position

Location: 111 W. Washington, 4 th floor

Days: Monday – Friday

Hours: 9am – 5pm

THIS POSITION IS IN THE CAREER SERVICE

Qualifications:

MINIMUM QUALIFICATIONS

Graduation from an accredited college or university with a bachelor’s degree in Business or Public Administration or directly related field, plus four years of budgetary, human resource or office administration experience of which two years are in a supervisory role related to the responsibilities of the position, or an equivalent combination of education, training, and experience

SELECTION REQUIREMENTS

This position requires applicants to complete an interview which will include a written exercise as part of the interview. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position, based on the oral and written parts of the interview will be selected

Preference will be given to candidates possessing the following:

· Previous work experience in project and contract management

· Proficiency in the application of accounting principles, analyzing financial data and preparing financial reports.

· Proficiency in Microsoft Office Suite

· Proficiency in analyzing financial expenditures and prepares cost projections and related financial reports.

· Proficiency in data analysis and reporting
