Responsibilities
Assist supervisor with coaching and developing of the team.
Assist in leading team meetings and allocation of work to the team.
Assist in the creation and implementation of process improvement initiatives to drive efficiency and productivity within the department.
Participate in corporate initiatives and IT projects by providing solutions, ideas, testing, and other functions as assigned by the Operations Support Supervisor.
Consolidate show site data and prepare files for Operations Teams to review prior to move-in, including:
Reviewing new job files and Resource Request Forms for information related to exhibit production, graphics, inbound and outbound shipping details (exhibit and client materials), work orders, services ordered, electrical plans, booth orientation, set up drawings, client and account management contact information, and related supportive documents.
Input data into Show Planning Template spreadsheet.
Update and maintain regional Ops schedule of upcoming shows.
Assist Ops team in confirming freight deliveries in to drayage warehouse and/or direct-to-site on non-GES shows. Evaluate freight delivery schedule with regard to targeted date/time and/or set up labor orders.
For non-GES shows, confirm receipt of EAC notification and submit certificate of insurance to show management and general contractor. Research and pay any applicable EAC fees. Confirm move-in, show and move out dates and times. Ordering equipment needs as specified by SOM/OM i.e. ladders, Genie Lifts, job dollies, scaffolding etc.
Notify on-site Operations Team about discrepancies, important details and/or anticipated problems.
Payroll and Billing coding, auditing and submission to various departments.
Travel scheduling and arranging for hourly lead personnel.
Update leads assignments in planning schedule.
Establish and maintain consistent job-site file format including maintaining regional and city show files for SOM and OM's.
Tracking and monthly reporting of local city operations support hour.
Establish, maintain, and routinely distribute contact phone lists of union personnel.
Update travel schedule.
Other duties as assigned by management.

Travel required up to 30% and ability to work some nights and weekends.
Must be proficient in Microsoft Office products including Excel, Word, Outlook and Power Point.
College degree preferred or at least five years experience in tradeshow industry.
Prior experience with union personnel preferred.

How to measure success
By 30 days incumbent should understand team dynamics and perform basic job functions: Run upcoming shows list and create show/client folders in Outlook and in SharePoint; independently.
By 60 days incumbent should be self-reliant on basic job functions and begin executing more complex tasks: Purchase Orders for labor and supplies; Show Certificates of Insurance for non-GES shows; Daily payroll and filing within SharePoint daily paperwork and safety folders
By 90 days, incumbent should have ownership over: Daily payroll and new hires
