General Information & Responsibilities

The Advising Specialist is responsible for managing advising and transfer student support services for the Quad Cities and East Campus Advising Centers, maintaining a thorough understanding of student processes/procedures, assessing student needs and making appropriate referrals district-wide.

Description of Duties

DESCRIPTION OF ESSENTIAL DUTIES:

a. Serves as first point of contact for Advising Center; assess student needs and makes appropriate referrals.

Facilitates navigation of the New Student Checklist and works collaboratively with Student Services staff to provide a seamless student experience.

c. Supervises, schedules and trains student workers and maintains online training content for student and advisor training utilizing Canvas.

d. Work regularly and collaboratively with the Director of Academic Advising and the Director of Tutoring, East Campus Advising Staff and TRIO Student Support Services to explore opportunities for expanded holistic student support as well as improved efficiencies.

e. Responsible for mastery of advising and retention software, reports, and processes. Responsible for training district-wide advising staff on software, systems, processes and reports critical to student advising and retention.

f. Responsible for advertising Advising Center events in collaboration with Marketing using various social media and texting platforms.

g. Creates and coordinates student communication plans in cooperation with staff and marketing.

h. Manages the college laptop loan program each semester and coordinates the process in collaboration with the ITS Department.

Maintains basic supplies and materials; maintains departmental capital outlay inventory replacement schedule.

j. Maintains relationships with baccalaureate school representatives.

k. Works collaboratively with Marketing to facilitate communication of advising and transfer services events.

l. Serves as primary contact and coordinates transfer events such as Private Illinois Colleges and Universities, State University Transfer Day, National Transfer Week, college visits and student appointments with transfer school representatives.

m. Works collaboratively with the Director of Academic Advisement to manage Advising Center operations district-wide.

n. Works collaboratively with the Articulation Transfer Coordinator on all articulation/transfer-related student events, communications, and purchases.

o. Be available for weekly travel to the East Campus to coordinate advising operations.

DESCRIPTION OF OTHER DUTIES:

a. Assists with college tracking, outcomes assessment, retention efforts, and other special assignments in cooperation with the Director of Academic Advisement including creating reports.

Responsible for correspondence to and from students, social service agencies, higher education institutions and other community partnerships.

c. Tests various software systems and makes recommendations to the Director for improvement.

d. Follows the Family Educational Rights and Privacy Act (FERPA) compliance by maintaining confidentiality, security, and permanency of academic records and student information.

e. Assists with budget accounts (e.g. creates purchase orders, disbursements, and purchase requisitions).

f. Performs other job-related duties as assigned.

a. Works directly with prospective, new, continuing and returning students.

Works directly with the Director of Academic Advisement, Advising staff and the Articulation Transfer Coordinator.

c. Works cooperatively with the Student Systems Administrator to troubleshoot SARS issues.

d. Works cooperatively with all Student Services staff, particularly those responsible for carrying out steps outlined in the New Student Checklist.

e. Works cooperatively with transfer partners.

f. Works cooperatively with the general public.

g. Works cooperatively with the personnel in other College departments.

Education & Experience

EDUCATION AND EXPERIENCE:(To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.)

a. Associate’s degree required. or a minimum of 60 college credit hours required. Bachelor’s preferred.

Minimum of three years of experience working in an office setting performing clerical work required.

c. Demonstrated experience working with confidential records and information required.

d. Experience using Microsoft Office software which includes proficiency in Word, Excel, and Outlook required.

e. Previous front-line customer service experience required.

f. Demonstrated ability to organize workload and follow through on assignments with minimum supervision required.

g. Excellent verbal and written communication skills required.

h. Knowledge of Banner Student Information system preferred and/or ability to learn.
