Job Description

The Larson Group Peterbilt is looking for an experienced Service Clerk to join our dynamic team. The Service Clerk assists the Service Department in all clerical and office functions. What We Offer: * Paid Time Off * Paid Holidays * Medical, Dental and Basic Life * 401K with employer contribution * Bi-weekly Pay Schedule * Opportunity for advancement and Career Developmen Responsibilities: * Ensures all Work Orders are completed, billed, and filed within 15 days of being opened or 5 days after being completed. * Works closely with the Central Warranty Department (CWD) to ensure the success of the warranty receivable management process. * Verifies all warranty jobs have a complete and thorough technician Complaint/Cause/Correction (CCC), correct parts billed by job, and any photos, sublets, serial numbers, check sheets and any other required documentation to support the warranty repair is attached to the Decisiv Case before submission to CWD. * Verifies that all external communication cases have been updated and closed with the OE (i.e. Dana, Eaton, Meritor, TCS365, Wabco, etc) before submitted to CWD. * Verify failure is covered under warranty by reviewing the Service Information Record (SIR) on Paccar.net. If no coverage, policy must be requested and approved prior to submitting to CWD. * Responsible for overseeing that all failed warranty parts are properly tagged and stored until directed to return to the supplier. Parts must be stored in a secure retention area by the last digit of the work order. * Utilizes the Warranty App to submit, monitor, and update warranty claims and conforms to a timely response protocol for all additional information requests by CWD. Best Practice response is two business days. * Responsible for the timely follow up with the Service Manager, Foreman and/or technicians if more information is needed to justify the warranty repair. * Responsible for providing all necessary paperwork for warranty part shipment to supplier, follow up with shipper to ensure the part has been shipped, and provide the needed tracking information into the warranty app. Best Practice to ship parts is five business days. * Communicate all refile and/or dispute requests expeditiously within the Warranty App in order to adhere to strict re-submission timelines set by the OE. Failure to do so will result in claim loss. * Assist Service Management and Central Warranty to ensure the warranty schedule detail notes are timely and current for all aged receivables (90+ days aged). * Responsible for maintaining a clean and organized warranty parts retention area by way of a scrap report. Service Clerk to lean on Central Warranty for guidance on the scrapping process to prevent unnecessary claim loss. * Maintains the Service Department’s office area in a professional and organized manner. * Assists with answering phones as needed. * Performs follow up calls to customers consistently. * Performs other duties as assigned. * Assists the Service Manager, Service Writer, and Service Foreman in all clerical duties.
