The Administrative Secretary performs a variety of secretarial duties to support the supervisor by relieving them of clerical and routine administrative responsibilities, ensuring the efficient and effective operation of the office. This role requires setting priorities under the direction of the supervisor and typically supports the Emergency Department (ED) leadership team, including the manager, Team Leads, Trauma Coordinator, Clinical Nurse Leader (CNL), and EMS/EDAP Coordinator.

Key Responsibilities:

+ Manage incoming and outgoing telephone communications related to staffing, ensuring accurate and efficient departmental communication.

+ Maintain and oversee activities related to the accurate and efficient use of Kronos, the timekeeping system.

+ Conduct clerical duties related to staffing to ensure accurate and up-to-date staffing on the unit, utilizing the Teams needs list and staff communication tools.

+ Perform clerical activities related to productive and non-productive hours within the department.

+ Input Kronos hours for staff education and meetings.

+ Maintain logs for sick calls and missed weekends for staff.

+ Conduct data entry activities to ensure the accurate and efficient workflow of the department.

Qualifications:

+ Proven experience in a secretarial or administrative role, preferably in a healthcare setting.

+ Proficiency in using timekeeping systems like Kronos.

+ Excellent organizational and communication skills.

+ Ability to prioritize tasks and manage time effectively.

+ Strong attention to detail and accuracy in data entry and record-keeping.

+ Ability to work collaboratively with the ED leadership team and other staff members.

This position is crucial for maintaining the smooth operation of the office and supporting the ED leadership team in delivering high-quality care.

Position Requirements:

Minimum Education:

Required: High School Diploma

Preferred: Associate degree

Minimum Experience:

Required: 3-5 years of previous job-related experience
