Job Description:

VP, Chief of Staff

As the Chief of Staff, you will be a trusted advisor to the CEO and CTO to oversee and optimize their time by helping to manage and prioritize task and initiatives ranging in varying complexity to make better decisions, drive results, and achieve efficiency. Collaborate with executive leadership team members to support moving projects forward. Identify, document, and manage the business deliverables required to support the initiatives and holds responsible parties accountable for completing deliverables on schedule to support deadlines. Exercise exceptional time and project management skills, prioritization, and preparation skills to ensure all executive leaders stay focused on the continued growth and well-being of the company.

Creates a culture of effective risk management, accountability, and demonstration of risk awareness across the organization.

Responsibilities

+ Proactively Supports Operational Vision in Collaboration with Team:

+ Developing and maintaining initiative-level delivery roadmaps that outline the timeline, milestones, and dependencies for projects and initiatives across the respective portfolios.

+ Works closely with the CEO and CTO on directives given and deliverables due, keeping the CEO and CTO abreast of impending deadlines and missed deadlines. Informs EMC and SLC leaders of upcoming commitments and responsibilities while also keeping them abreast of changes in a rapidly evolving and fluid environment.

+ Meets with leaders regularly, attends executive meetings and coordinates round table discussions as needed, updating CEO and CTO as appropriate.

+ Strong fundamental understanding of data analytics and validation, critical thinking to extrapolate trends from data and infer appropriate operational interventions.

+ Partners with Corp Communications to support critical communication and messaging from CEO within the organization, and externally to clients and major stakeholders.

+ Reviews, prepares presentations and meeting materials from stakeholders prior to meeting where they are disseminated to CEO and CTO ensuring each meeting has appropriate data readily accessible.

+ Creates a culture of effective risk management, accountability, and demonstration of risk awareness across the organization.

+ Provides direct oversight and management of important (as designated by the CEO or CTO) and/or time intensive projects. Includes:

+ Oversight of staff’s projects, tasks, and directives, to ensure the CEO & CTO stays on track and productive.

+ Serves as the bridge across departments, managing and monitoring high-level projects and ensuring proper effectuation of initiatives.

+ Represents CEO in regular stakeholder meetings to provide oversight of critical organizational processes and projects.

+ Follows-up with internal/external stakeholders to ensure deadlines are met.

+ Works with the teams to build up our compliance practices by assisting in implementation with a standardized approach using our Compliance Management System

+ Utilizes advanced problem-solving skills to proactively identify, solve and escalate problems as needed.

+ Establishes and monitors workflow for CEO’s and CTO’s Office team to maintain optimal efficiency. Uses the utmost discretion to protect the privacy of the CEO and CTO.

Required Experience

+ 10+ years’ experience, Chief of staff, portfolio mgt, Financial Services, Management Consulting, or related experience supporting C-Suite executives preferred

+ 8+ years Financial Services, Management Consulting, or related experience minimum

+ 3+ years Project Management, Portfolio Management minimum

Education Requirements

+ Bachelor’s degree Business Administration and Management, Human Resources or related field minimum.

+ Master’s degree preferred

In Lieu of Education

+ 5+ years excellent written, verbal, and presentation skills communication and interpersonal skills

+ 5+ years fundamental understanding of data analytics, critical thinking to extrapolate trends from data and infer appropriate operational interventions.

+ 5+ years exceptional organizational, planning, and time management skills. Excellent business and financial acumen. Aptitude for critical thinking, problem solving, and decision-making

+ 5+ years sense of urgency with all tasks/projects with minimal turnaround time. Demonstrates diplomacy and discretion.

+ 5+ years flexibility and agility in managing competing priorities and scheduling. Versatile abilities and dedication to efficient productivity.
