Position Summary Information
Job Description Summary 
 The Records Manager and Graduation Officer is responsible for the evaluation and certification of degrees for three annual graduation periods and for activities related to the preparation and organization of all commencement ceremonies. This position will assist with registration, orientation, degree audits, student records maintenance, enrollment/education certifications and special projects as assigned, especially outside of the peak periods of graduation auditing and certification.
Responsibilities 
 Responsible to model the University Mission through dedicated job performance, service excellence to constituencies, respectful collaboration and active support of the University's Mission and Catholic and Lasallian Higher education.

Graduation Duties

-Evaluate and certify graduating students for May, August, and December graduations in conjunction with Deans' offices, department chairs, and program directors.
-Communication and troubleshoot outstanding degree requirements to students, Deans' offices, department chairs, advisors, and program directors.
-Disseminate graduating student information and process timelines to the colleges.
-Coordinate diploma distribution and ordering.
-Clear all completed students for graduation and post conferral of all degrees and credentials

 

General Registrar's Office Duties
-Assist with accurate and timely processing of a variety of student records requests to help with the general workload in the office.
-Develop, maintain, and analyze data reports related to student records and graduation statistics.
-Assist with registration and participate in new and transfer student orientations as requested.
-Identify, troubleshoot, and resolve student records issues in collaboration with other offices on campus (i.e. Admissions, IT, Financial Aid, Business Office, etc.).
-Evaluate and develop efficiencies in workflow and records processing, especially as related to the graduation evaluation and audit processes.
- Inform and advise students, faculty and staff on academic policies and procedures related to student records.
-Enforce University and Office of the Registrar policies and procedure.
-Comply with FERPA/ADA and other applicable laws pertaining to academic records.
-Serve on University committees and/or task forces as assigned.
- Assist in special projects and/or activities as needed.
-Perform other related duties as assigned.

 

Commencement Support Duties
- Assist Vice President for Student Life with Commencement Ceremony. Duties may include:
-Serve on Commencement Committee.
-Oversee timely communication both electronically (including maintenance of the commencement website) and in-print for graduating students regarding progress towards degree completion, ceremony participation, and ticketing.
-Make determinations regarding eligibility to participate.
-Coordinate the preparation of the commencement program and other printed materials related to commencement.
-Collaborate with vendors (i.e. Marching Order, Herff Jones) to assist graduating students and other ceremony participants with graduation needs including but not limited to diplomas, ceremony tickets, and regalia for Commencement.
-Manage Registrar's Office inventory of commencement ceremony supplies.
-Assist Marketing, Events, and Conferences (MEC) on creation/distribution of electronic ticketing for commencement.
Minimum Qualifications 
 Bachelor's Degree required. Ability to communicate well both orally and in writing. Interest in working in a collaborative team environment. Candidates must also have a commitment to Catholic higher education and to the University's LaSallian Mission.
Preferred Qualifications 
 Experience working in a Registrar's office or in Higher Education environment. -
