Role Description:

The Development and Project Associate will support the All Stars Project (ASP) of Chicago’s work to sustain and grow our philanthropic partnerships that connect supporters to Chicago’s youth and fuel our 100% privately-funded Afterschool Development programs. They will provide high-level administrative and project support for the diverse activities including, but not limited to, special events, mail and email outreach campaigns, and scheduling, planning, and producing meetings. The successful candidate is incredibly detail-oriented, produces high-level work in a fast-paced environment, and exercises discretion and diplomacy in all interactions.

The Development and Project Associate position is highly collaborative with local staff, national development team members, philanthropic partners, and ASP leaders. The position reports to the Vice President/Director (VP/Director) of ASP Chicago; however, has responsibilities related to support and collaboration with the Senior Director of Development (and their team) for fundraising and partnership activities.

The position is a hybrid role and requires some in-person attendance in the ASP Chicago regional office.

 

Job responsibilities:

Project Management and Administration

  • Produce and prepare written, oral and visual presentations, letters, and memos on behalf of the VP/Director and the Senior Director of Development. This includes planning and coordinating the production needs of high level meetings with philanthropic partners.
  • Coordinate and manage the VP/Director’s day-to-day schedule, contact database, travel arrangements, itineraries, and outside organization events and trainings.
  • Partner with the Development Officer to produce quarterly ASP of Chicago board meetings, special board meetings, town halls, and other special events.
  • On behalf of the VP/Director, coordinate meetings, team member calendars and internal and external meetings with partners.
  • Coordinate with the CEO’s and Senior Vice President’s offices on needs when they travel to and work in Chicago.
  • Prepares, records and monitors budgets and expenses on behalf of the VP/Director. Submits monthly reports to the VP/Director and National finance team.
  • Respond to additional tasks as requested by the VP/Director and Senior Director of Development.

Communications and Marketing

  • Project manage branding and marketing projects, including reports, program brochures and video projects for the ASP of Chicago.
  • Project manage any media opportunities for the ASP of Chicago including the coordination of schedules and appearances of the VP/Director and Founder of the ASP of Chicago.
  • Partner with ASP of Chicago team to create content for social media and other digital

Qualifications

  • Bachelor’s degree or equivalent experience preferred
  • 3-4 years administrative experience
  • Strong verbal and written communication skills with proven success in written communication, including proofreading and editing
  • Strong leadership and interpersonal skills and the ability to interact and communicate professionally with individuals at all levels of the organization
  • Proven capacity to apply independent judgment in planning, prioritizing, organizing and performing multiple tasks in a diversified workload seamlessly, with excellent attention to detail
  • Team player with flexibility, adjusting to changes in direction and new environments
  • Understanding of poverty-related issues and a commitment to creating educational and developmental opportunities for underserved youth in outside-of-school contexts
  • Discretion and sensitivity in handling and safeguarding confidential information
  • Comfortable working in a fast-paced, entrepreneurial environment
  • Superb administrative skills, including use of MS Word, Excel, PowerPoint, and Outlook
  • Knowledge and strong acumen of basic computer operations and maintenance
  • Willingness and ability to work some evenings and weekends, as needed
  • Experience with the non-profit industry preferred
  • Providing proof of Covid-19 vaccination is required

 The All Stars Project, Inc. (ASP) is a growing national nonprofit organization whose mission is to transform the lives of youth from poor and underserved communities using the developmental power of performance, in partnership with caring adults, giving everyone the opportunity to grow. While the ASP’s afterschool programs include hip-hop talent shows, training in theatre and the arts, and programs where we partner with the business community to help young people create a professional performance, we are doing so much more – we are building community and imagining possibility.

Founded in 1981, the ASP is headquartered in New York City, and currently operates in five locations across the United States (New York, New Jersey, San Francisco Bay Area, Chicago and Dallas). The ASP is primarily privately funded, with two-thirds of our support coming from individuals.

The ASP of Chicago, launched in 2007, now reaches more than 5,000 youth annually on the south and west sides of Chicago and has raised more than $16 million in private funding. In 2016, ASP of Chicago embarked on a comprehensive expansion campaign – an important element of which is a visionary strategic growth initiative to establish a “Hub” for Afterschool Development in the heart of downtown. In 2023, the ASP of Chicago opened its new “Hub” – a home that welcomes young people from poor and underserved communities, non-profit partners, and business leaders to collaborate on how to collectively create a new Chicago.
