Gies College of Business at the University of Illinois invites applications from qualified individuals for a 100% full-time Accounting Assistant in the Department of Business Administration. The position is to assist in the day-to-day operations of processing accounting transactions and monitor and enter financial information in the Department of Business Administration.

The Department of Business Administration is a large and diverse unit, which includes graduate and undergraduate programs across eight academic areas (i.e., Organizational Behavior, Strategic Management, International Business, Marketing, Operations Management, Information Systems, Business Analytics, and Supply Chain). Job Summary
Manage the day-to-day operations of the Illinois Supply Chain Management Corporate Affiliates Program, assist with the Supply Chain Management undergraduate program, and plan and coordinate departmental and area events and assist the leadership of the Department of Business Administration

Duties & Responsibilities
  • Program management
    • Recruit and supervise students as Supply Chain Management (SCM) major program representatives.
    • Plan and facilitate the SCM Seminar for recruiting prospective students.
    • Manage annual SCM program budget.
    • Regularly meet with enrolled and potential students to discuss the SCM program guidelines and specific course requirements to ensure successful outcomes in a timely manner for program completion.
    • Build and launch co-curricular program initiatives.
    • Lead domestic and international immersion experiences in SCM Program.
    • Schedule annual SCM meetings and networking events, such as CAP Advisory Board meeting, Industry Day, SCM Seminars, and Annual Case Competition.
    • Arrange corporate site visits with affiliates to enhance the student experience.
    • Act as liaison with Advancement and Corporate Relations from Gies College of Business and the Directors to manage relationships with corporate affiliates, program donors, and alumni engagement.
  • Events & Travel Coordination:
    • Develop, implement, and manage department-wide events and meetings.
    • Assist faculty with development of research-based conference programming.
    • Coordinate cultural/social engagement activities for Ph.D. program students and affiliates.
    • Schedule seminars and presentations for each concentration.
    • Work closely with faculty to plan and organize seminars and conferences including preparation of materials and logistics.
    • Provide in-person support on the day of proseminars and events.
    • Arrange catering as necessary.
    • Assist in preparing and managing agendas and future follow up.
    • Provide presentation creation and support.
    • Process travel and purchasing expenses via P- & T-Card as necessary.
  • Administrative:
    • Act as the departmental liaison with MarComm, manage relationships between the department, specializations, and constituents.
    • Assist Department Head with departmental wide communications.
    • Provide administrative support for area initiatives as needed.
    • Assume additional appropriate related duties to enhance the mission of the unit.

Minimum Qualifications

  • Bachelor's degree.
  • A total of one (1) year (12 months) of work experience in program coordination and/or event management. (Note: Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)
Knowledge, Skills and Abilities
  • Comprehensive knowledge of general event coordination and management.
  • Ability to exercise professional judgment and to help ensure the Department's compliance with State, University, Campus, College, and Department policies and procedures.
  • Knowledge and familiarity with the Microsoft Office suite of applications.
  • Excellent organizational skills.
  • Interpersonal skills that reflect courtesy, diplomacy, and a collaborative approach to develop and maintain effective work relationships.
  • Ability to handle multiple tasks simultaneously and meet deadlines with accuracy.
APPOINTMENT INFORMATION

This is a 100% full-time Civil Service 3851 - Accounting Assistant position, appointed on a 12-month basis. The expected start date is as soon as possible after the search close date. This is a bargained position and as such, the salary is driven by the collective bargaining agreement. The entry-level salary for the Accounting Assistant classification is 38,555.40/year. Hybrid work options may be available for this position after an initial training period, but with the requirement that onsite availability may be needed at any time with short notice. Work authorization is not available for this position.
