Job Description

Administrative/Reporting/HR:Oversee completion of monthly, quarterly, and annual owner's reports.
Notify tenants of special projects (i.e. building shutdown), emergencies, or other requests.
Conduct staff meetings and participate in Security and Janitorial meetings.
Oversee Administrative Assistant positions.
Develop performance objectives and perform mid-year and year-end performance reviews for all.
Maintain all personnel folders.
Oversee hiring process.
Develop and mentor Property Administrator and Tenant Service Representative.

Financial & Accounting:Oversee completion of annual budget, income and expense, and capital improvement plan.
Complete monthly accruals, work with accountant on monthly/quarterly reporting requirements.
Oversee achieving annual budgeted revenue, operating and capital expenses.
Maintain TI allowances and balances.
Ensure timely and accurate reporting (monthly, quarterly)
Assist in completing financial audits.
Complete annual expense reconciliation process.
Approve all PO/Request for services.
Weekly invoice review and approval.
Review and approve all MTAs and Recurring Billing change forms.

Tenant Relations:Build and maintain tenant relations with key contacts.
Assist in managing tenant option rights and information.

Operations:Oversee and manage Security Director in security oversight of the building.
Coordinate fire drills and communicate with tenants regarding life safety issues.
Manage building operations contracts and vendors to maintain Class-A operations. Must have detailed knowledge of scope and implement measures to ensure all service providers are meeting contract obligations.
Conduct regular property inspections to ensure the building is maintained in a pristine manner, this will include daily, weekly, and monthly depending on the area.
Oversee all TI projects.
Support GM in overseeing all building capital projects.

Contracts/Agreements:Prepare and review contracts.
Ensure all legal agreements have been fully executed by tenant and ownership.
Oversee Real Estate Tax protest process.
