JOB SUMMARY

We are currently seeking a highly organized and proactive Administrative Assistant to join our dynamic team. In this vital role, you will be the backbone of daily operations, seamlessly integrating into our office environment to support a range of administrative duties. With your exceptional attention to detail and commitment to efficiency, you will be instrumental in maintaining the smooth operation of our business and contributing to a collaborative and professional workplace. Job responsibilities include the following:

  • Maintain a clean and organized desk (will sit at the front desk of headquarters) and office environment to support productivity and workflow
  • Serve as the first point of contact for visitors and callers, managing incoming calls and directing visitors appropriately
  • Manage office supplies and employee snacks inventory and place orders to ensure stock levels are maintained
  • Coordinate office and facility maintenance issues and liaise with external vendors to effectively execute work orders
  • Schedule and organize meetings, including venue booking, catering, and agenda preparation
  • Coordinate and order lunch for customer and employee meetings (typically 2-3 times per month), and take responsibility for post-meeting clean-up
  • Handle incoming and outgoing correspondence, including emails, mail, and package deliveries
  • Coordinate travel arrangements for staff or visitors, including flight bookings, accommodations, and itineraries
  • Organize and prepare materials for meetings, including agendas, handouts, and minutes
  • Liaise with other departments and external contacts to resolve administrative issues and inquiries
  • Implement and maintain office policies and administrative systems to improve efficiency
  • Handle sensitive information with confidentiality
  • Lead the coordination of company events and meetings
  • Serve as back-up for other administrative duties, including sales team support (e.g. generating quotes out of Salesforce), and perform ad-hoc tasks and projects as assigned



Requirements:

REQUIRED SKILLS

  • High school diploma or equivalent; associate or bachelor's degree preferred
  • 3 or more years of proven experience as an Administrative Assistant or Office Admin Assistant in a fast-growing business environment
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Knowledge of office management procedures and basic accounting principles
  • Strong organizational skills with the ability to multi-task
  • Excellent written and verbal communication skills
  • High attention to detail,
