Starting Salary: $51,180.00 (starting salary non-negotiable)

Under general supervision, provides high-level administrative and clerical support for the Diversity & Equal Employment Opportunity division.

ESSENTIAL DUTIES

+ Processes documentation for Reasonable Accommodation (RA) requests and communicates with employees regarding documents needed to complete their file for review

+ Creates, organizes, and maintains files for employees seeking RAs related to disability, pregnancy, childbirth, or related conditions

+ Enters and maintains data regarding reasonable accommodation requests into MS Teams database to track the status of requests

+ Enters and maintains data regarding complaints of discrimination, harassment, retaliation, or workplace violence into case management system

+ Maintains contact information and email distribution lists for stakeholders in City departments.

+ Assists with maintenance and distribution of equipment and supplies related to accommodations

+ Receives and reviews Equal Employment Opportunity (EEO) and Violence in the Workplace (VIW) documentation

+ Coordinates with departmental liaisons and employees to gather RA and VIW documentation

+ Updates and maintains databases to track the status of EEO, VIW, and RA matters

+ Prepares letters and other correspondence for both divisions

+ Compiles data to prepare programmatic and administrative reports

+ Edits and proofreads documents and reports

+ Prepares various work reports regarding work operations and staff activities

Additional duties may be required for this position.

Location: 121 N. La Salle Street

Days: Monday – Friday

Hours: 8:30 am – 4:30 pm

THIS POSITION IS IN THE CAREER SERVICE

Qualifications:

Three years of administrative or secretarial experience, or an equivalent combination of education, training and experience.

Preference will be given to candidates possessing the following :

· A bachelor’s degree

· Previous administrative/secretarial work experience

· Previous work experience maintaining calendars and scheduling/confirming appointments.

· Proficiency with Microsoft Office applications (Microsoft Excel, MS Teams, MS Word)

SELECTION REQUIREMENTS: This position requires invited applicants to complete a structured interview using a standard set of questions. In addition to the oral interview, candidates may be assessed for job-related skills with work samples, skills demonstrations, presentations, or other exercises related to the job. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position will be selected.
