Information Manager and Technical Coordinator-University Counsel (Hybrid)

Job Summary
The main function of the position is to serve as a member of the administrative support team to maintain, optimize, and support the staff using the universities' and unit-specific software applications and hardware components. The team provides administrative support to the in-house legal teams at all three universities and travel will be required to support all three offices.

Duties & Responsibilities
  • 1. Provide user support, both on-site and remote, for software and hardware used by OUC staff: (40%)
    a. Respond promptly to user inquiries, troubleshoot issues, and provide resolutions.
    b. Collaborate with users to identify and understand application-related problems.
    c. Act as liaison and coordinate with other IT units (AITS, Technology Solutions, Technology Services, etc.) and vendors to respond to user questions and concerns.
    d. Escalate complex issues to appropriate IT unit.
    e. Research, evaluate, and assist in the selection of computers, tablets, hardware, software, and related accessories.
  • 2. Manage OUC applications administration and functionality (25%):
    a. Act as administrator on OUC software applications (Legal Files Software, NetDocuments and any other software specific to OUC) verify that employees are added and removed appropriately and that the correct security levels are maintained.
    b. Monitor use of the systems and perform quality control checks to ensure that policies and procedures are being followed.
    c. Coordinate with OUC users and relevant IT units to help facilitate system upgrades, patches, and enhancements.
    d. Participate in testing and quality assurance of system changes to ensure system integrity and data accuracy.
    e. Customize and configure application settings based on user requirements, work with software vendors when necessary.
  • 3. Act as primary contact and support for university software and communications systems. (10%)
    a. Participate in any university-wide software initiatives that affect OUC staff.
  • 4. Act as University Security Contact (USC) for the unit. (10%)
  • 5. Act as the primary contact for cybersecurity issues. (5%)
  • 6. Assist the primary inventory unit contact with annual computer inventory and make recommendations when IT equipment reaches the end of its useful life. (5%)
  • 7. Performs other related duties as assigned. (5%)
Minimum Qualifications

High school diploma or equivalent. Any one or any combination totaling two (2) years (24 months) from the following categories: College coursework which includes Information Technology (IT), IT Management, Programming, IT systems, or a closely related discipline, as measured by the following conversion table or its proportional equivalent: 30 semester hours equals one (1) year (12 months) Associate's Degree (60 semester hours) equals eighteen months (18 months) 90 semester hours equals two (2) years (24 months) Bachelor's Degree (120 semester hours) equals three (3) years (36 months) Work experience in IT-related functions, such as hardware/software support, programming, network design, network engineering, IT systems integration, or closely related field. Based on position requirements, additional education, training, and/or work experience in the area of specialization inherent to the position may be required

Preferred Qualifications

1. Familiarity with OUC and/or university applications.
2. Excellent communication skills with the ability to interact with users of varying technical expertise.
3. Experience in system administration, including system upgrades, configurations, and maintenance

  • 1. Knowledge of the systems and operations used within the areas and departments of responsibility.
  • 2. Excellent verbal and written communication skills.
  • 3. Ability to oversee and coordinate activities of user groups.
  • 4. Ability to effectively communicate and professionally interact with all staff levels and customer groups.
  • 5. Ability to identify and resolve technical problems.
  • 6. Ability to demonstrate fundamental knowledge of effective troubleshooting methodologies.
Appointment Information

This is a 100% full-time Civil Service 5031 - Information Technology Technical Associate position, appointed on a 12-month basis. The expected start date is as soon as possible. The minimum salary for this position is $60,000 and the salary is commensurate with experience and qualifications.
