Job Summary
Responsible for the supervision and administrative oversight of all Illini Union scheduled events, activities and the day-to-day building operations including the interpretation and enforcement of department and campus policies and procedures. The scope of responsibility includes but is not limited to Illini Union facilities, Main Quad, and Anniversary Plaza. Manages the emergency response protocols for the areas within the scope of responsibility.

Duties & Responsibilities
  • Provides administrative oversight, supervision of facilities, and enforcement of Illini Union and Campus policies and procedures in the absence of management.
  • Completes hourly rounds of the facility, Anniversary Plaza, and the Main Quad to ensure policy compliance, responds to emergencies, and files reports related to Illini Union operations, scheduled events, tenants and/or staff.
  • Serve as a primary liaison and main contact for the Illini Union as a resource for student organizations, University departments and other entities that are using the facility.
  • Coordinates daily with Event Services, Multimedia, and various departmental managers throughout the Illini Union to ensure that important information is shared across the organization.
  • Evaluates and implements event management plans for events, including compliance with any Campus or departmental policies and guidelines.
  • Assists with identification, assessment, and response to general building safety and/or security concerns. Coordinates with first responders in addressing all safety and security concerns.
  • Backs up the Multimedia department with A/V equipment setup and supervision of student employees as required.
  • Backs up the Event Services department with event reservations and supervision of student employees as required.
  • Supports the Senior Building Operations Coordinator in the hiring, training, and management of Building Operations students.
  • Assists the Senior Building Operations Coordinator with training and the development of the professional customer service program training and Building Emergency Action Plan (BEAP).
  • Provides building tours to prospective clients and customers wishing to hold an event at the Illini Union; provide guidance on room and setup queries in conjunction with department stakeholders.
  • Liaison with Illini Union Board to support their mission and their events.
  • Completes other duties as assigned.
Additional Physical Demands
This position involves moving throughout all areas of the facilities, including service areas. Also involves remaining in a stationary place for long periods.
This position performs work on-site.
This position may be required to work hours/days outside of regular shift on short notice.

Minimum Qualifications

1. High School Diploma or equivalent.

2. Any one or combination totaling three (3) years (36 months) from the categories below:
A. college course work in facility management, operations management, or a closely related field, as measured by the following conversion table or its proportional equivalent:
- 60 semester hours or an Associate's Degree equals one (1) year (12 months)
B. training from a vocational, technical, or an armed forces program which includes building operations such as coordination of building maintenance, construction management, hospitality, or closely related experience.
C. work experience which includes building operations such as coordination of building maintenance and work orders, construction management, hospitality, or closely related experience.

3. One (1) year (12 months) of supervisory or administrative experience which includes building operations such as coordination of building maintenance and work orders, construction management, hospitality, or closely related experience

Preferred Qualifications
  • Bachelor's degree.
  • Experience with training, developing, and mentoring team members.
  • Experience working in college or university student unions/centers.
  • Experience in event management or multimedia.
  • Knowledge of university policies, procedures, and safety practices.
Knowledge, Skills and Abilities
  • • Excellent written and verbal communication skills.
  • • Excellent customer service skills.
  • • Ability to interpret and enforce university policies.
  • • Proficiency in operating Computer Functions and Microsoft Office including but not limit to Microsoft Word, Excel and PowerPoint.

  • • Ability to collaborate effectively with a wide variety of internal and external customers.
  • • Ability to work independently, with little supervision.
  • • Ability to exercise critical thinking and problem-solving techniques in an extremely fast-paced environment.

Appointment Information

This is a 100% full-time Civil Service 2378 - Facility Operations Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after the closing date. Salary is commensurate with experience, with the minimum as $53,843 per year. Sponsorship for work authorization is not available for this position. Work for this position must be performed on-site. The typical work schedule is Tuesday - Saturday 3PM to 11PM, schedule adjustments may be required due to operational needs.
