About the Department

Alumni Relations and Development (ARD) engages alumni (~220k), current students, parents, and friends of the University through intellectual, professional, and social activities on campus, around the world and online. ARD raises $600 Million annually to support faculty and researchers, practitioners and patients, and students and programs across the University. Our work supports priorities in every division, school, department, and institute.

The Pritzker School of Molecular Engineering (PME) development team works collaboratively to secure gifts and grants from individuals and institutions to support PME priorities and objectives, as set by both the PME Dean and Director of Development and foster increased engagement with PME. The development team accomplishes these priorities through in-person meetings, carefully curated cultivation and stewardship events, and other forms of donor engagement. The team collaborates with colleagues across ARD to broaden the exposure of alumni and friends of the University of Chicago to PME.

Job Summary

The Assistant Director's primary responsibilities include professional support of assigned development activities, execution of tasks related to fundraising projects, cultivation programs for prospective donors, and support in hosting the PME Advisory Council annual meetings.

This position implements programs designed to meet fundraising goals for contributed income with moderate guidance. Helps build relationships with alumni, faculty, administrators and organizations with potential to make gifts at the instruction of others. Executes communication strategies for projects.

Responsibilities
  • Coordinates the Division's alumni relations and development efforts such as prospect management and tracking, donor relations, stewardship, database management, event planning and staffing, and communications directed at alumni, volunteers, and friends of PME.
  • Leads the planning, preparation, and execution of semi-annual PME Advisory Council meetings, as well as other stand-alone events, with strategic guidance from Director of Development.
  • Manages all aspects of the annual fund in partnership with the Alumni Relations and Annual Giving (AEAG) team.
  • Manages the stewardship and acknowledgment process at all gift levels, including development of comprehensive annual reports on endowed funds in partnership with ARD's Donor Relations team.
  • Drives alumni engagement amongst the PME alumni community. Collaborates with PME Corporate Engagement team, PME Career Development team, and the University Alumni Association to identify opportunities to increase the visibility of PME to broader UChicago alumni groups.
  • Serves as the database power user and in-house expert, with a special emphasis on extracting and analyzing data from the Phoenix system. Ensures data is up-to-date and prepares custom and ad-hoc reports, spreadsheets, graphs, and charts.
  • Provides strategic planning and administrative support to manager and team. Enters and updates notes on engagement and cultivation activities, meetings, and interactions. Assists in writing and editing correspondence with prospects when necessary.
  • Assists in preparing briefings for events and individual meetings.
  • Seeks opportunities for professional development that will enhance job performance, including building networks within the University and with colleagues at peer institutions.
  • Develops content for specific communications, including all annual and special appeals.
  • Cultivates and maintains relationships with donors and volunteers.
  • Writes timely and strategic correspondences to advance relationships.
  • Works with others to maximize prospective donor cultivation.
  • Performs other related work as needed.

Minimum Qualifications

Education:
Minimum requirements include a college or university degree in related field.

Education:
  • Bachelor's degree.
  • Advanced degree.

Experience:
  • A minimum of two years of professional work experience in fundraising, development, alumni relations, donor relations, nonprofit management, research, marketing, communications, sales, or similar professional work experience.
  • Background in fundraising, contact management or other database software.

Technical Skills or Knowledge:
  • Demonstrated skill and knowledge of, or ability to learn quickly, the internal workings of the University as well as the technology tools available to the Office of Alumni Relations and Development, including Phoenix (the University's Donor Relationship Management System), Microsoft Windows computer environment, Microsoft Outlook, Word, Excel, PowerPoint, and Box.

Working Conditions
  • This position has a hybrid work schedule which includes weekly in-office presence.
  • Standard office environment.
  • Travel to campus and/or non-campus locations for University business.
  • Work evenings and weekends as needed.
  • This position is located in Hyde Park at 5235 South Harper Court.
