Description:

Incumbent in this position is involved in performing duties with the daily operations of the departmental business office, that involve purchasing, processing of reimbursements, transaction reconciling, and coordinating of seminars.

Duties & Responsibilities:

Process order requests from faculty, staff, and students via i- Buy, Banner, over the phone and online. Serve as liaison with Purchasing Department. Answer vendor, faculty, staff and students' inquiries regarding order status and University purchasing policies and procedures.
Perform other related duties and participate in special projects as assigned.
Manage business office transactions, including Purchasing Card and Travel Card transaction, reconciling via Chrome River system and processing reimbursements, as well as vendor payments. Serve as liaison with University Payables, Corporate Card Office, and Bank of America.
Coordinate travel arrangements for faculty, staff, students, and departmental visitors. Serve as liaison between department and internal staff, external units and outside agencies.
Maintain complete and accurate records of student organizations expenditures and other departmental commitments, including generating reports in Excel, keeping track of expenditures, correcting discrepancies, and providing updates on balances along with any issues regarding activity. Answer inquiries regarding allowable University business expenses and University policies and procedures.
Make arrangements for departmental seminars, as well as special meetings and conferences, including preparing fliers, itineraries, and setting up refreshments.
Create, update, revise and retrieve files and records, which may include confidential materials. Generate departmental forms, labels, codes and miscellaneous vouchers to facilitate departmental functions and modify existing files to better implement office guidelines and procedures.
Perform other related duties and participate in special projects as assigned.

Minimum Qualifications Required:

1. High school diploma or equivalent.

2. Any one or combination totaling two (2) years (24 months) from the categories below:

A. College coursework in any curriculum, as measured by the following conversion table or its proportional equivalent:

30 semester hours equals one (1) year (12 months)
Associate's Degree (60 semester hours) equals eighteen months (18 months)
