Summary: The Program Coordinator administers daily activities and operations for the Trauma Systems and Injury Prevention team of the Trauma Department. This position is responsible for tracking and documentation and creating status reports for multiple projects across the team. Provides support for senior staff and program leadership to keep projects on track and to meet project deliverables. Interacts with committee members, volunteers, and other constituencies associated with projects. Develops and shares program knowledge and expertise. Responsibilities include program support, committee support, customer support and communication, and trauma system consultation logistics and administrative support.
This exempt position will report to the Manager, Trauma Systems and Injury Prevention Programs in the Division of Research and Optimal Patient Care. It is based in our Chicago office and is a hybrid role: 3 days per week in the office/2 days per week remote.

Responsibilities:
Program Support: Executes day-to-day coordination for programs and projects. Tracks project progress, creates regular status reports, and conducts follow up. Develops and/or utilizes tools for project tracking and reporting. Program support also includes coordination of website content, surveys, and project documentation and follow-up.


Committee Support: Provides support to staff and committee leadership and work groups. Assists in organizing work group and committee meetings, attends meetings and conferences, as needed, and maintains notes and logs for project meetings.


Customer Support and Communication: Provides timely, accurate and professional customer service in own knowledge area to project staff, senior leadership, work groups, and others. Conducts communications across project teams to ensure all program requirements are met. Coordinates the dissemination of program announcements and updates.


Consultation logistics and administrative support: Collaborates and communicates with multiple staff teams to coordinate logistics to implement a trauma system consultation including travel, hotel, and meals arrangements.


Contributes enthusiastically to an environment of continual performance improvement, team collaboration and service to improve care of the injured patient, executed in accordance with the ACS values. Seeks and promotes areas of integration and alignment within Trauma Programs and across ACS activities. Pursues and welcomes opportunities for evolution of responsibilities and growth in position. Creates and maintains written organizational processes and procedures in support of all projects and activities handled in this program area.
Required Education and/or Experience:
Bachelor's degree or higher from an accredited college or university is required.


At least 2-3 years of post-college experience in a professional office environment, including project coordination, administrative support, and/or customer service. Non-profit or association experience is a plus.


Strong working knowledge of Microsoft Office Products (Outlook, Word, Excel, and PowerPoint).


Experience with survey software such as Survey Monkey or Qualtrics preferred, but not required.
